We are seeking a dedicated Assistant Property Manager to join our team in. This role is vital in supporting our mission to provide outstanding resident service and efficient property operations. The position is based in and offers an exciting opportunity to grow within a dynamic company.
Responsibilities
- Answering inbound telephone calls for wider department and providing general assistance where possible. To include more in-depth assistance on set portfolio before forwarding to Property Manager
- Provide prompt and courteous responses to inbound emails.
- Taking information on and actioning incoming maintenance reports by email and phone and eventually via leaseholder portal
- Raising and progressing maintenance tickets further and updating notes with progress
- Compiling and issuing section 20 notices on set portfolio
- Preparing LPE1 packs and assisting Conveyancing Secretary with ongoing queries
- Assisting with preparation of budgets and letters
- Sourcing and onboarding new contractors ensuring they meet all relevant and GDPR requirements.
- Issuing welcome packs to new owners as and when sales complete
- Issuing general communications to leaseholders/residents/clients via Resident, email and post
- Issuing work orders for set portfolio ensuring the correct category is used and following up on work orders to ensure works are completed.
- Monitoring key/fob stock levels, ordering new where required and issuing replacements to leaseholders/residents (includes taking and monitoring payments made for replacements)
- Monitoring utility accounts including updating regular meters reads. Also arranging for meter reads to be taken as and when requested by leaseholders/residents. Work with Operations Director in ensuring appropriate contracts are in place and utility accounts are set up quickly on any new instructions.
- Working closely with Property Managers in monitoring health and safety tasks and actions are actioned in a timely manner on PRISM.
- Making Senior Management aware where complaints may have been raised or issues have not been dealt with in a timely manner.
- Ensuring Team Diary is up to date with any external appointments.
- Arranging AGMs including booking venues, preparation and distribution of agendas and minutes post AGM. There may be a requirement to attend some meetings to take minutes in person, but this will be planned in advance and time in lieu offered in return.
- Being the first point of contact for visitors into the office for your team including contractors collecting keys/fobs, leaseholders attending meetings etc
- Providing cover for other team members where necessary including within other teams
Pay: £25,000.00-£27,000.00 per year
