About the Role in More Depth:
We are looking for a Conservatory & Extension Contracts / Project Manager / Service Administrator / Storeperson to join our established, family-run business.
This is a primarily office-based role with a varied mix of project management, contract administration, customer service and practical responsibilities.
The main focus of the position will be the project management of conservatory and extension projects, including conservatory roofs and associated building works, from the point of order through to completion.
You will be responsible for coordinating the various stages of each project and ensuring that customers, installers, suppliers, subcontractors, Building Control and the office all have the information they need.
The role also includes service and warranty administration, preparing quotations for chargeable works, liaising with Building Control, purchasing and stock management, and overseeing our stores and deliveries.
Although the role is predominantly office-based, you will also be expected to get involved with the stores and warehouse when required, including receiving and checking deliveries, moving materials and ensuring products are ready for upcoming installations.
The role would suit someone with existing experience in conservatories, extensions, windows, doors, construction or project management who is looking for a position where they can initially learn how we operate, build relationships and bed themselves into the business before taking on greater responsibility.
Equally, we would consider someone with less industry experience who has the right attitude, organisational skills and willingness to learn. We are happy to invest in the right person and help them grow into the role and develop their project management skills.

Key Responsibilities:
Conservatory & Extension Contracts / Project Management
The primary responsibility of the role will be to manage conservatory and extension projects from order through to completion.
This will include:
- Taking responsibility for the progress of conservatory and extension projects from the point of sale/order through to completion.
- Coordinating the various stages of each project and ensuring everything is in place before work starts.
- Liaising with customers, surveyors, installers, builders, subcontractors, suppliers and other trades.
- Arranging and coordinating surveys, structural calculations, drawings, Building Control requirements, product orders and installation dates.
- Checking specifications, drawings and orders to ensure they accurately reflect the agreed contract.
- Monitoring manufacturing and supplier lead times and proactively chasing where necessary.
- Coordinating deliveries and ensuring products and materials are available when required.
- Working closely with the installation team and builders to ensure projects are properly prepared before the next stage of work starts.
- Managing project programmes and keeping customers informed of progress.
- Identifying potential problems early and taking action to resolve them.
- Coordinating variations and additional works that arise during projects and the associated costs.
- Managing projects through to completion, including final checks, snagging and collection of final payment.
- Ensuring all relevant paperwork, certificates and completion documentation are obtained and filed.
- Keeping accurate records of project progress and outstanding actions.
- Maintaining regular communication with customers throughout their project.
Building Control
- Liaise with Building Control departments in relation to conservatory and extension projects.
- Arrange and coordinate required inspections.
- Ensure the necessary documentation is submitted and obtained.
- Coordinate Building Control requirements with customers, installers, builders and other relevant parties and ensure they are adhered to.
- Ensure completion certificates and other relevant documentation are received and retained.
Service & Warranty Administration
- Deal with customer service and warranty enquiries professionally and efficiently.
- Log and manage service requests from initial contact through to completion.
- Assess the nature of reported issues and establish the appropriate course of action.
- Arrange engineer and installer visits.
- Coordinate appointments with customers and engineers.
- Order replacement parts and materials where required.
- Maintain accurate records of service jobs and warranty claims.
- Follow up outstanding service issues to ensure they are resolved.
- Communicate clearly with customers regarding warranty terms and chargeable works.
Chargeable Service & Quotations
- Assess service enquiries and determine whether work is likely to fall under warranty or be chargeable.
- Prepare quotations for chargeable service work, including labour, parts and materials.
- Liaise with customers regarding quotations and answer any queries.
- Arrange works once quotations have been approved.
- Order required parts and materials.
- Coordinate chargeable works through to completion.
- Maintain accurate records of quotations, approvals and completed works.
Stores & Stock Management
- Take responsibility for maintaining an organised and tidy stores area.
- Receive, check and put away deliveries.
- Be physically fit and able to safely receive, unload, move and store deliveries, including windows, doors, conservatory components and other building materials.
- Maintain stock records and monitor levels of commonly used materials and components.
- Prepare materials and products required for installation and service jobs.
- Identify when stock needs replenishing and place orders where required.
- Keep tools, materials and equipment organised and readily accessible.
- Assist with loading and unloading deliveries.
- Maintain a clean, safe and organised warehouse and yard.
About You

Experience
Industry experience would be advantageous but is not essential.
We would be interested in hearing from two types of candidates:
Someone who already understands conservatories, extensions, windows, doors, construction or project management and is looking for their next step.
You may have the experience to take on significant responsibility but want to spend some time learning how our business operates, understanding our products and processes and bedding yourself into the role before taking on more responsibility.
Someone with less direct industry experience but who is organised, capable and keen to learn.
You may have experience in administration, project coordination, construction, customer service or a similar role, but want the opportunity to develop your knowledge of conservatories, extensions, building projects and project management.
We are happy to invest in the right person and help them grow into the role, with the potential to take on considerably more responsibility as their knowledge, experience and confidence develop.
The Right Person
This is not simply an administration or office-based desk role.
Although you will be primarily based in the office, we are looking for someone who will take ownership of projects and make sure things happen.
You will need to be comfortable picking up a conservatory or extension project, understanding what needs to happen next and taking responsibility for making it happen. That could mean chasing a supplier, speaking to Building Control, updating a customer, arranging an installer or builder, checking a delivery, preparing a quotation or finding a solution to an unexpected problem.
You should be someone who doesn't wait to be told about every problem, but instead looks ahead, identifies potential issues and works towards a solution.
You will also need to be comfortable getting away from the desk when required — whether that's checking materials in the stores, receiving a delivery or helping ensure the correct products are ready for an installation.
