The Role
We are looking for a professional and friendly Reception Assistant to join our team and support the Administration Manager.
Reception is the hub of our busy accountancy practice, and you will play an important role in creating a positive first impression for our clients, visitors and colleagues. You will be responsible for greeting visitors face to face in a warm and professional manner, as well as answering incoming calls to the practice and directing enquiries to the appropriate person or department.
Your role will also include preparing refreshments for visitors when required and receiving and handling important and confidential documents. Accuracy and attention to detail are key, as you will be trusted with important information and documents that must be handled carefully and passed to the correct person or department.
The successful candidate will be presentable, neat and professional, with a friendly and approachable manner. You will be organised, reliable and able to manage a variety of tasks in a busy working environment. You will also be a strong team player with a natural desire to learn, develop and grow within the role.

Person Specification
- Have previous experience working in a reception, administration or office-based role, ideally within a busy professional environment
- Be presentable, neat and professional, with a friendly and approachable manner
- Be confident greeting clients and visitors face to face and creating a positive first impression
- Have excellent telephone skills and be confident answering and managing all incoming calls to the practice
- Possess excellent attention to detail and a high level of accuracy
- Be confident inputting data and information accurately onto internal systems
- Be organised and able to manage tasks in a busy working environment
- Have a strong work ethic and a proactive approach to daily tasks
- Be a confident team player who can also work independently when required
- Have strong communication and interpersonal skills
- Understand the importance of confidentiality when handling sensitive client and business information
- Be comfortable working in a fast-paced environment where accuracy is essential
- Demonstrate a willingness to learn and develop professionally
- Have good IT skills and be confident using multiple software
- Be reliable, punctual and take pride in maintaining high professional standards
Key Responsibilities
- Acting as the first point of contact for the practice and ensuring reception remains the professional and welcoming hub of the business
- Greeting all clients and visitors face to face in a warm, friendly and professional manner
- Answering all incoming telephone calls to the practice and directing calls and enquiries to the appropriate person or department
- Taking accurate messages and ensuring important information is passed on promptly
- Preparing refreshments for clients and visitors when required
- Receiving important and confidential documents from clients and visitors and ensuring they are passed to the correct person or department
- Receiving, scanning, recording and distributing incoming post accurately and efficiently
- Inputting client and business data accurately onto internal systems
- Verifying client and business information with HMRC when required
- Checking information carefully to ensure records are accurate and complete
- Handling confidential and sensitive information with discretion at all times
- Maintaining a neat, tidy and professional reception area
- Providing general administrative support to colleagues across the practice
- Ensuring all work is completed accurately and in accordance with the practice’s procedures
