Groups, Reservations & Events Office Manager
£38,000 Full-time Permanent Fully on-site
Own the enquiry. Lead the team. Shape the guest journey.
DoubleTree by Hilton York is a busy city-centre hotel overlooking York’s historic walls and close to York Minster. The hotel welcomes a strong mix of leisure guests, corporate travellers, groups, meetings and private events. We are looking for an experienced hotel professional to lead our Groups, Reservations and Events Office. This is a commercially focused role with real ownership of inbound group and event enquiries, conversion, client relationships and the quality of the handover into hotel operations. You will lead a small team, influence revenue performance and work closely with the wider hotel leadership team. The role also includes selected show rounds, client meetings, networking activity and support for high-profile events.
What you’ll do
- Lead and develop a small Groups, Reservations and Events team.
- Take ownership of incoming group and event enquiries from first contact to confirmation.
- Build strong client relationships and convert opportunities through confident, professional follow-up.
- Maximise revenue across bedrooms, meeting space, food and drink and added-value services.
- Manage group bookings, proposals, contracts, rooming lists and billing details accurately.
- Produce clear, detailed handovers so operational teams can deliver each event successfully.
- Track conversion, lost business, group pick-up and future activity.
- Conduct show rounds and support selected networking and hotel sales activity.
- Contribute to the wider hotel leadership team, including occasional Duty Manager and guest-relations cover.
- Manage competing demands with resilience, sound judgement and a clear sense of priority.
What you’ll bring
- Previous experience with Hilton is an advantage.
- Experience within another recognised hotel brand is desirable.
- Previous experience in hotels or hospitality is essential.
- Experience in reservations, group bookings, event sales or a similar hotel commercial office role.
- A strong track record of handling and converting inbound enquiries.
- Experience leading or supervising a small team.
- Confidence working with clients, senior managers and operational departments.
- Strong commercial awareness, organisation and attention to detail.
- Experience using hotel property-management, reservations or event systems.
- The resilience to stay focused and effective in a busy hotel with competing priorities.
Working pattern
This is a fully on-site role, giving you direct access to the team, clients, and hotel departments you work with every day.
Most hours will follow the office’s enquiry-handling needs, with occasional evenings or weekends for client activity, networking, or significant events.
What it is like to work here
You will join a hotel where colleagues support each other, managers are approachable and people understand how their work contributes to the success of the business. The environment is busy and commercially focused, but also practical, supportive, and built around clear communication and teamwork.
You will also receive:
- Performance incentive scheme (bonus)
- Employee Assistance Programme, including mental health support
- Hilton and Michels & Taylor discounts
- Development towards senior events, revenue, commercial or hotel operations roles
