Job Description:
We are seeking a professional and friendly Receptionist to join our orthodontic team. The ideal candidate will be the first point of contact for our clients and visitors, providing excellent customer service and ensuring the smooth operation of our office. This role requires strong organisational skills, attention to detail, and the ability to manage multiple tasks efficiently.
Duties
- Greet clients and visitors in a warm and welcoming manner.
- Answer incoming calls with proper phone etiquette, directing calls to the appropriate personnel.
- Manage scheduling and appointments, ensuring efficient use of time for both staff and clients.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
- Assist with clerical duties such as filing, photocopying, and scanning documents.
- Maintain an organised reception area, ensuring it is tidy and presentable at all times.
- Support administrative tasks as required, including correspondence management using our dental system
- Check and manage voice messages and emails
- Manage Laboratory orders
- Collaborate with team members to enhance office efficiency and workflow
- Handle inquiries and provide clear, helpful information about our orthodontic treatments and services
Requirements
- Proven experience in a receptionist or similar administrative role is preferred but not essential.
- Proficient in using office MS Office and Outlook
- Familiar with Dental Software management systems is preferred but not essential
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent verbal and written communication skills, demonstrating professionalism at all times.
- Ability to work independently as well as part of a team in a fast-paced environment.
- A keen attention to detail with strong data entry skills.
- A positive attitude and a commitment to providing exceptional customer service.
