PA to COO and iCOOC/WCOOC Business Support

This role is responsible for the effective management and delivery of Armstrong Wolfe’s events and content output, ensuring consistently high standards across all face-to-face and digital engagements. The position
works closely with internal teams, members, and external partners to deliver professional, well-coordinated events and timely, high-quality content that supports Armstrong Wolfe’s brand, forums, and communities.
The Role:
Event Management
The role has oversight of the logistical planning and delivery of all Armstrong Wolfe face-to-face events and acts as the primary point of contact for:
iCOOC Team Admin
· Supporting the coordination of events, meetings, roundtables, forums and client engagement activities, including diary management, invitations, registrations and attendee tracking.
· Maintaining accurate records of contacts, attendees, organisations, event participation and follow-up actions within CRM systems and internal trackers.
· Assisting with email correspondence to clients, members, speakers, hosts and internal stakeholders in a timely and professional manner.
· Supporting the team with scheduling calls, managing calendar invites, tracking responses and ensuring all relevant stakeholders are kept informed.
· Helping to monitor event attendance, apologies, substitutions and follow-up requirements before and after each event.
· Providing administrative support for relationship management activity, including updating contact information, logging engagement notes and supporting targeted outreach.
· Liaising with internal colleagues to ensure event logistics, communications and relationship updates are properly coordinated.
· Supporting data quality across event and relationship records, ensuring information is accurate, current and consistently maintained.
· Assisting with general team administration, including document management, task tracking, reporting and ad hoc support as required.
PA Support to AW COO
· Providing PA support to the COO, including diary management, meeting scheduling, inbox coordination, preparation of meeting materials and follow-up of agreed actions.
· Supporting the COO with internal and external stakeholder coordination, ensuring priorities are managed effectively and key meetings, calls and relationship touchpoints are properly organised.
· Assisting with the preparation of briefing notes, documents, correspondence and administrative support required for COO-led meetings, events and strategic initiatives.
Member-hosted eventsArmstrong Wolfe self-hosted events at selected venues.
Key responsibilities include:
» Coordinating all logistical arrangements to ensure a seamless and professional experience for attendees
» Liaising with internal teams, member organisations, venues, and external suppliers
» Managing attendee requirements and event support aspects, including:
- Presentation facilities and technical requirements
- Table plans and seating arrangements
- Event collateral and materials
- Event set-up and on-the-day coordination
» Ensuring the timely delivery of post-event outputs, including:
- Event feedback
- Meeting minutes
- Working closely with content management responsibilities to ensure alignment between events and published outputs
Pay: £28,000.00-£35,000.00 per year
