Job Overview
Provide administrative and operational support to the Sales and Estimating teams, ensuring accurate processing of enquiries, efficient coordination of documentation, and smooth execution of internal sales processes. This role is key to maintaining CRM accuracy, supporting pipeline visibility, and improving overall customer experience.
Our ideal candidate will be highly organised, a strong communicator and have experience in a similar fast paced role which used a CRM tool.
This is designed as a full time role however we could consider part-time applicants looking for 30+ hours per week across 5 days, Monday to Friday.
Key Responsibilities
Sales Support & Coordination
- Manage inbound enquiries, logging and qualifying them within CRM.
- Track quotation status and provide follow-up communications to clients.
- Monitor project portals, tender invitations and key client inboxes.
CRM & Data Management
- Maintain CRM accuracy including contacts, opportunities, and activity logging.
- Produce weekly pipeline and activity reports for management.
- Support forecasting by ensuring data completeness and quality.
Administrative Support
- Prepare sales documentation including NDAs, pre-qualification forms, and onboarding packs.
- Coordinate internal handovers between Sales, Estimating and Projects.
- Assist with event administration (exhibitions, networking events, client meetings).
- File management and document control for sales materials.
Customer Engagement
- Provide timely responses to customer enquiries and requests.
- Support after-sales communication and problem resolution where needed.
- Act as a professional and courteous first point of contact for clients.
Requirements
Key Skills & Competencies
- Highly organised with excellent attention to detail.
- Strong communication and customer service ability.
- Competent using CRM tools (Pipedrive preferred but training provided).
- Good data handling and reporting skills (Excel/Sheets).
- Ability to prioritise workload under time pressure.
- Proactive and team-oriented attitude.
Qualifications and Experience
- Experience in an administrative or sales support role (construction preferred but not essential).
- Strong IT proficiency including Excel, Word and CRM platforms.
- Understanding of construction project lifecycles beneficial (training provided).
- Experience working with contractors, architects, or manufacturers advantageous.
Minimum Professional Requirements
- Minimum 2+ years in administration, customer support, or sales coordination.
- Demonstrable experience managing data and documentation.
- Ability to communicate professionally with clients at all levels.
- Strong organisational skills and accuracy in documentation handling.
