About the opportunity
We are a private investigation company looking for a part-time sales and customer service assistant to join our team, based in our Halifax office. You will be the first point of contact for many of our enquiries and existing clients, so a calm, professional manner and genuine attention to detail matter more than any specific qualification. This is a PAYE employed position with paid holiday.
The work
Sales support:
- Monitor WhatsApp enquiries, confirm the automated reply has gone out, and follow up personally to guide people to complete our new client assessment form
- Send initial replies to contact form and email enquiries
- Check sent items and send template follow-up emails, adjusting names, locations, and details accurately. This needs a genuinely sharp eye: small errors like a leftover placeholder or the wrong location in a template are exactly what we are checking for
- Handle short (around 15 minute) inbound sales calls with prospective clients. Our senior sales team handles quotes and most calls, so you are not expected to close deals unsupported
- Work through a set of HubSpot follow-up tasks after quotes go out (day after, day 4, day 7) using template emails, with the same attention to detail required
Customer service:
- Send client investigation reports via Notion and email, coordinating with our investigation teams and checking each report against our quality checklist before it goes out
- Pass on new information clients send us about their case to the relevant internal team
- Handle routine client queries and follow our procedure for anything that becomes a complaint or dispute
- Chase our investigation teams for case updates when needed, to keep cases moving smoothly
We may add duties as the role grows. As you settle in, we will also want your input on tightening our processes and documentation, not just executing them unchanged. This suits someone who is naturally organized and methodical and likes making things run better.
Hours
15 hours per week to start: 3 hours per day, 5 days a week, either 9am to 12pm or 10am to 1pm (to be agreed). There is room to grow these hours for the right candidate as the role develops.
Pay
National Living Wage, £12.71 per hour, PAYE employed. Paid holiday: 28 days a year (20 days plus 8 bank holidays), the same statutory entitlement as a full-time employee, since it is based on the 5 days a week you work rather than the hours in each day. Each holiday day is paid at your normal 3-hour daily rate. As with any employed role, pay is reviewed periodically and can grow as the role and your responsibilities do.
What we are looking for
- Genuine attention to detail. This role involves a lot of templated communication, and getting the small details right (names, locations, spacing) every time is essential
- Comfortable on the phone, including with clients who may be dealing with a sensitive or difficult personal situation
- Organized and able to manage a routine set of daily tasks without heavy supervision
- Naturally organized and methodical, with a genuine interest in documenting and improving how things are done. Once you know the role, we want your input on tightening our templates and processes, not just executing them unchanged
- Trustworthy with confidential client information. Our clients are often in vulnerable situations and discretion is essential to how we work
- Comfortable using WhatsApp, email, and CRM-style task systems (we use HubSpot); full training given, but general comfort with these tools is helpful
- Right to work in the UK required (standard employment check)
