The Person
··While previous knowledge of the workings of a dental practice is desirable, because EVO Dental is not an ordinary dental practice, we are prepared to consider candidates with no dental experience, although the ability to learn quickly will be essential and you must have the ability to manage our reception and patients effectively in a fast paced environment whilst also supporting our professional and clinical team members with administration tasks
· Flexible hours based on the needs of the business, typically ten working hours per day, between 08:00 and 18:30 on a 4 day Rota
· The special work we do is so very important to the lives of our patients, hence the requirement to be completely reliable and trustworthy.
· Highly motivated, striving to delight and get the job done, for both individual and team tasks.
Passionate about learning and developing in a professional ambitious environment.
· Good knowledge of the Microsoft Office suite, and competent around computers with an appetite to learn new software applications.
· A genuine desire to help people and gain satisfaction from other’s positive life-changing outcomes.
· Polite and comprehensive command of written and spoken English, both verbal and written.
· Calm and resilient when under pressure.
Ability to support patients who may be anxious or distressed.
The Role
· Scheduling all patient appointments to optimise use of the facilities and resources – understanding resource hours and allocations across multiple departmentsand across two sites.
· Greeting patients warmly upon arrival, settling them into their individual suites, making drinks, providing lunches and gathering necessary data prior to treatment. Ensuring patients are relaxed and comfortable.
Ensuring medical histories are up to date and available for appointments.
· Keeping waiting patients apprised of the schedule, in cases where other treatments run late, ensuring other departments are also aware.
· Liaising with the nursing, clinical and technical teams regarding individual patient schedules, to ensure seamless coordination of the patient journey.
· Greeting the patient warmly following treatment, noting some patients could be slightly distressed and in some discomfort, following a major full-arch or full-mouth rehabilitation surgery.
· Taking payment from patients as and when a payment is due, and processing this using electronic systems. Preparing and banking monies provided.
Taking responsibility for post handling and distribution including taking post to the post office when required and arranging couriers when needed.
· Maintaining records and performing general administrative tasks in between interactions with patients and staff.
Taking responsibility for managing reception dashboards, inputting accurate and timely data and ensuring patient records are up to date.
· Booking local hotels and travel arrangements for patients.
· Assisting the management team with business growth general administrative tasks, including coordination of meetings, events and other company activities.
· Other support and administrative tasks as required to support the business in general.
