Location: Willingham, Cambridgeshire (Office Based Only)
Term: 6 months fixed, however good opportunity to remain in the business for the right person
Hours: Monday to Friday, 8:00am to 5:00pm (45 hours per week, including a 1-hour lunch break)

The Opportunity
As a result of our continued expansion, we are looking for a highly organised and motivated Office Administrator / Operations Support Co-ordinator to join our busy and supportive office team.
This is a varied and fast-paced role that plays a vital part in supporting our operational teams, Project Managers, engineers, and clients. The successful candidate will be responsible for ensuring that administration, planning, payroll support, invoicing, and compliance processes are completed accurately and efficiently.
This role is ideal for someone who enjoys working in a structured environment, has excellent attention to detail, and takes pride in delivering high-quality work.
Please note this is a office-based position and does not offer hybrid or remote working.
Key ResponsibilitiesPayroll and Timesheet Administration
- Collect and review employee timesheets.
- Calculate overtime and verify hours worked.
- Check timesheets against planned activities and job allocations.
- Obtain approval from job owners before payroll submission.
Costing and Invoicing
- Prepare and verify job costing sheets.
- Generate sales invoices in accordance with client contractual rates.
- Ensure all invoices are supported with the correct documentation.
- Assist with the prompt submission of invoices to minimise payment delays and queries.
Workforce Coordination
- Monitor and track employee locations and planned activities.
- Ensure field teams are aware of daily and weekly work schedules.
- Assist with future workload planning and resource allocation.
Customer and Employee Support
- Respond promptly and professionally to emails and enquiries.
- Answer incoming telephone calls and accurately record important information.
- Liaise with clients, suppliers, engineers, and management teams as required.
Administration and Compliance
- Maintain accurate spreadsheets and company records.
- Process purchase invoices and route for approval.
- Monitor job status to ensure completed works are invoiced and records updated.
- Organise and maintain filing systems for audit and compliance purposes.
- Collect and record supporting compliance information, including HAVS records and environmental reporting data.
Office Management
- Manage office supplies and stationery.
- Order materials and consumables required for office operations.
- Ensure records are maintained in line with company procedures.
HR Support
- Process new starter paperwork.
- Record employee holidays and absences.
- Assist with maintaining training and competency records.
- Provide general administrative support to the management team.
What We're Looking ForEssential Requirements
- Full UK driving licence.
- Excellent written and spoken English.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Confident using Microsoft Outlook, Word, and Excel.
- Ability to manage multiple tasks and prioritise workload effectively.
- Professional and friendly communication skills.
- Positive attitude and willingness to work as part of a team.
Desirable
- Previous experience in an administration, coordination, payroll support, accounts, or operations role.
- Experience working within construction, utilities, engineering, or similar industries.
- Familiarity with job management or scheduling systems.
