Job Title: Personal Assistant to Estate Agent, Property Developer and Investor

Job Summary:
We are seeking an organized and proactive Personal Assistant to support Kirk Shephard, a property developer and investor, in the day-to-day management of various real estate projects and investments. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage a wide range of tasks in a fast-paced environment.
Key Responsibilities:
- Manage Kirk’s calendar, schedule meetings, and coordinate travel arrangements for site visits and business trips.
- Liaise with contractors, suppliers, and project managers to ensure projects run on time and within budget.
- Assist in preparing property investment reports, including financial analysis and market research.
- Oversee property management tasks, including dealing with tenants, collecting rent, and handling maintenance issues.
- Conduct research on potential property investments and analyze real estate trends.
- Assist with administrative tasks such as drafting correspondence, managing emails, and organizing files.
- Monitor deadlines for legal documents, permits, and compliance issues.
- Attend meetings with clients, investors, or partners and take detailed notes.
- Prepare presentations, proposals, and documentation for investor pitches and property development plans.
- Handle personal tasks, including errands and other personal scheduling.
- Coordinate property viewings, inspections, and client meetings.
- Maintain Kirk’s client database and assist with lead generation efforts.
- Handle email correspondence, inquiries, and follow-ups with potential buyers, sellers, and clients.
- Prepare marketing materials for property listings, including brochures, online postings, and social media content.
- Conduct initial research on property listings, market comparables, and sales data.
- Manage administrative duties such as contract processing, compliance checks, and document filing.
- Assist with drafting sales agreements, lease contracts, and other real estate documentation.
- Attend property viewings, open houses, and auctions alongside Kirk.
- Assist with managing social media presence and responding to inquiries.
- Handle personal tasks as needed, including scheduling and general errands.
Requirements:
- Proven experience as a Personal Assistant or similar role, preferably in the real estate or construction industry.
- Excellent communication and interpersonal skills.
- Strong organizational and time-management abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
- Familiarity with real estate terminology and processes is preferred.
- Ability to work independently and handle multiple tasks simultaneously.
- A proactive and resourceful problem solver.
- Prior experience in real estate, administration, or as a Personal Assistant.
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- High proficiency in Microsoft Office Suite and CRM software.
- Knowledge of real estate market trends and sales processes.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A customer-oriented mindset with the ability to interact professionally with clients and vendors.

Pay: From £35,000.00 per year
Expected hours: 40 per week
