About The Freehold Collective
The Freehold Collective is an established and growing consultancy built entirely around flexible, remote working. There is no physical office, no traditional employment structure and no fixed hours. Everyone works on a freelance basis, sets their own schedule around minimal core commitments, and is paid for the hours they work. We trust people with genuine autonomy and expect them to take real ownership of their role.
This is not a conventional 9 to 5 job. It suits someone who wants to fit meaningful, fulfilling and varied work around their existing commitments, whether that is family, another part time role, or their own projects. We are looking for someone who wants this as a stable, long term part of their working life, not as a stopgap until a full time job comes along.
The Role
We are looking for an organised, proactive Sales and Operations Office Administrator to support the whole team. You will keep the day to day running of the business smooth, from bookkeeping and inbox management to preparing client proposals and looking after our systems.
This is a hands-on role with real scope. The person who does it well will not simply work through a task list. They will take ownership of the function, spot what needs doing before being asked, chase things through to completion, and look for ways to make the work better over time.
What You Will Be Doing
Finance
- Reconciling payments in Xero and keeping the records up to date
- Raising bills for Land Registry charges and processing incoming invoices
- Issuing invoices when a new partner joins our partner network
Inboxes and Communications
- Monitoring shared project inboxes and chasing account managers on anything outstanding
- Answering occasional calls on our Zoom phone system, taking messages and passing them on
- Sending a short daily summary of the day's meetings
Sales Support and Proposals
- Building client proposals from our templates, including pricing, maps and Land Registry titles
- Setting up project folders and keeping Asana opportunities accurate and up to date
- Allocating new HubSpot enquiries to the right account manager
Systems and Administration
- Setting up new project email accounts and managing logins securely in Keeper
- Logging Trustpilot reviews and keeping our performance records current
- Keeping our Asana workflows tidy and flagging overdue items
Client and Team Support
- Liaising with clients to arrange meetings and calls
- Supporting the wider team with admin and operations as needed
- Feeding back constructively on how things are working and where they could improve
What We Are Looking For
We care more about reliability, initiative and attitude than a specific CV. That said, the following will be relevant:
- Solid administrative and operations experience, ideally in a small or remote team
- Accounts experience, particularly with Xero
- Confidence across everyday business tools: Google Workspace, email and calendar, and project or CRM systems such as Asana and HubSpot, or the ability to learn them quickly
- Comfortable being client facing, on calls, by email, and with your photo on our website
- The maturity to work well with a range of personalities and the discretion to handle sensitive matters professionally
- A proactive, ownership minded approach: someone who chases, follows up and improves things without being told
- Reliability. We are a small team and what you do, or do not do, affects everyone

Working at The Freehold Collective
This is a freelance engagement. You will be paid for the hours you work at a rate of £18 to £20 per hour depending on experience, reviewed after three months. There is no salary, no benefits package and no company equipment. You will need your own computer, a reliable internet connection and a smartphone for our virtual phone app.
Hours are approximately 15 to 20 per week, worked during UK business hours around agreed core times. There is one required team meeting each week of around one hour, on UK time. Beyond your core commitments, you have flexibility over when you work.
You can be terminated, or choose to leave, without any notice period, though we hope to build a long term working relationship with the right person.
