About the role
We are looking for an organised and compassionate co-ordinator to support the launch and day-to-day operation of our Meals on Wheels project. This role is vital in ensuring that meals are delivered safely, efficiently, and consistently to local residents who rely on the service.
The successful candidate will coordinate meal delivery schedules, manage referrals and bookings, communicate with volunteers, drivers, service users and their families, maintain accurate records, and support the smooth running of the project. The role will help initially coordinate approximately 40 meal deliveries each week, ensuring isolated residents receive both nutritional support and valuable wellbeing contact.
Key responsibilities
- Organise and maintain weekly meal delivery schedules.
- Manage referrals, enquiries, bookings and service user records.
- Liaise with volunteers and delivery drivers to coordinate deliveries.
- Communicate with service users, carers and family members regarding deliveries and service updates.
- Maintain accurate delivery, safeguarding and project records.
- Support the recruitment, onboarding and coordination of volunteers.
- Monitor and record delivery outcomes and wellbeing checks.
- Assist with reporting and data collection requirements.
- Ensure confidentiality and data protection requirements are followed.
- Support the wider administration and development of the Meals on Wheels service.

Essential
- Excellent organisational and time management skills.
- Previous administrative experience.
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks and priorities.
- Good IT skills, including Microsoft Office and email systems.
- Ability to maintain accurate records and databases.
- Understanding of confidentiality and data protection.
- A caring and professional approach when working with older and vulnerable people.
Desirable
- Experience working within community, voluntary, health or social care services.
- Experience coordinating volunteers or delivery schedules.
- Knowledge of safeguarding principles.
- Experience using CRM or database systems.
