Job Responsibilities
- Assist with arranging and conducting property viewings
- Support routine property inspections and inventory checks
- Help coordinate check-in and check-out processes
- Report issues identified during inspections to the company director
- Immediately report & solve any critical property issues found during the visit
- Deal & assist with any property emergency matters like water leak, fire issue, electricity issue, any building issue, any neighbour complaints including police, rubbish complaint etc whatever comes as part of property management
- Assist with the administration of residential lettings and property management portfolios
- Understand how to Update property management systems and files regularly
- Understand & Support compliance with Right to Rent checks and tenant referencing
- Act as a point of contact for tenants, landlords, and contractors etc whenever required
- Respond to tenant enquiries regarding repairs, rent, and general property matters
- Assist in resolving tenant complaints professionally and promptly
- Liaise with tenants & landlords regarding property updates, maintenance, and tenancy matters
- Assist to Log and track maintenance and repair requests
- Assist to Arrange contractor visits and obtain quotes where required
- Follow up on works to ensure completion within agreed timescales
- Assist with emergency repair coordination when necessary
- Assist to keep maintenance records up to date
- Assist in ensuring properties meet UK legal requirements (e.g. gas safety, EPCs, EICRs)
- Understand renewal dates for compliance certificates
- Support HMO and licensing administration where applicable
- Provide general administrative support to company director & team wherever required
- Answer phones, manage emails, and handle correspondence wherever required
- Have understanding of marketing of available properties (online portals, photos, descriptions) whenever required
- Assist with audits and reporting whenever required
- Follow company policies, procedures, and industry best practice
- Ensure health and safety standards are upheld in managed properties
- Maintain confidentiality and professionalism at all times
