NuStaff are currently recruiting on behalf of Avon & Somerset Police for a Transport Services Receptionist based in Bristol.
Job Role
To provide a reception service for Transport Services, plus the provision of a range of efficient, effective and high quality administrative and support services to the force and external partners. Ensure all work is delivered to a high standard within agreed timescales and in line with requirements and processes.
Main Responsibilities
- Welcome customers to the Transport Services workshop, providing first contact administrative support, handling customer queries, handing over vehicles and providing excellent customer service to police officers, staff, visitors and suppliers.
- Welcome visitors to the Transport Services Department, effectively signing them in and providing site safety information and checking identification.
- Assist customers with the collection of fleet vehicles from the workshop, accurately updating systems to ensure vehicles stay roadworthy and road legal, including the scanning and updating of MOT records.
- Provide a service reception facility by receiving and responding to calls relating to the booking of vehicle repairs/maintenance and job progress enquiries. Monitoring and chasing missed appointments and making sure workshop loading is regulated. And liaising with partner agencies to seek budget authorisation for the repair of these vehicles.
- Manage requests for assistance from frontline customers, arranging suitable workshop appointments or roadside breakdown assistance with our contractors where appropriate.
- Ensure necessary pre-appointment paperwork is completed to prepare vehicles for repair, including raising job cards, checking for manufacturer safety recall notifications and other compliance information and preparing the vehicle for handover to the vehicle technicians and managing key-readings for BMWs.
- Liaise with Transport Services, the Admin Hub and Estates/Facilities on day-to-day matters including health and safety checks/ordering, security issues, administrative and support services when required.
- Oversee the allocation and provision of force courtesy vehicles when vehicles are in the workshop for repair.
- Input and update the fleet management system, ensuring all vehicle records are maintained accurately.
- Responsible for allocating and managing the Traka key fobs to all fleet vehicles and user access to key cabinets, ensuring Traka database is kept up to date. And issuing of the fuel Bearer cards for vehicles in transit.
- Monitor and facilitate the service and MOT requirements of the HGVs, along with recording all vehicle allocations, ensuring that the location of new issues, reallocations, surrendered vehicles and write offs are maintained.
- Plan vehicle and driver movements for our dedicated team of Volunteer Drivers, enabling vehicles to efficiently be moved to and from the workshops.
- Sign new vehicles into and out of the workshop, checking for logbooks and fuel cards
Hours & Pay
- 08.00 - 16.00 (there could be an option for 07:00 - 15:00 or 09:00 - 17:00 if needed)
- £13.08 ph
