Role Overview
The Admin and Finance Officer will play a key role in ensuring the smooth running of administrative and financial functions within the organisation. The successful candidate will support the management team with finance administration, record keeping, and general office coordination.
Key Responsibilities
- Manage day-to-day administrative tasks including emails, phone calls, and correspondence
- Maintain accurate financial records, invoices, and expense tracking
- Assist with payroll processing and staff timesheets
- Process invoices and payments, ensuring timely reconciliation
- Support budgeting and financial reporting
- Maintain staff and service user records in line with data protection requirements
- Ensure accurate and timely settlement of bills and financial obligations
- Ensure all property compliance requirements are met, including monitoring, updating, and maintaining valid electrical and gas safety certificates.
- Support compliance with social care regulations and company policies
- Input of receipts and expenses
- Check service charge payments and housing benefit payments on a monthly basis.
- To prepare and send out monthly invoices promptly and correctly.
- Updating of all financial schedules.
- Maintaining a detailed record of invoices sent, payments received and outstanding invoices.
- To monitor regularly the age and level of outstanding invoices.
- To regularly chase up local authorities for outstanding payments.
- Managing Purchase Orders.
- To create, develop and maintain spreadsheets.
- To maintain the paper and electronic filing systems.
- To establish close liaisons with local authorities to ensure the timely identification of disputed invoices.
- Update property occupancy schedules.
- Prepare Year End financial information for accountants.
- Producing financial reports when required.
- Routine administrative tasks such as answering the phone, emailing, faxing, responding to queries and managing diaries.
- Arrange and coordinate engineer visits for property maintenance, repairs and property compliance.
- To carry out other ad hoc finance and admin duties as and when required.
Personal Qualities
- NVQ – Level 2, or AAT – foundation level/Experience in a similar finance role
- Advanced experience in using Excel and spread sheets.
- High level of competence in Word and Outlook.
- Excellent customer service skills
- Basic understanding of accounting processes and procedures,
- Good communication and listening skills.
- Excellent organisational skills used in planning own work.
- Calm and professional disposition.
- Self-motivated, innovative and enthusiastic.
- Ability to work under pressure and meet targets and deadlines.

Requirements
- Previous experience in administration and finance roles
- Knowledge of bookkeeping and financial systems
- Strong organisational and multitasking skills
- Good knowledge of Microsoft Office (Excel, Word, Outlook)
- Excellent communication and interpersonal skills
- Ability to handle confidential information professionally
- Experience in health or social care sector is desirable but not essential
Pay: £14.00-£18.00 per hour
Work Location: In person
