About Us
HAPI Dental is a busy, well-established dental practice in Handsworth (formerly know as Sohal Dental), Birmingham, offering both NHS and private treatment. We're looking for a part-time Dental Receptionist who can also take ownership of our patient CRM system, helping us manage enquiries, follow-ups, and patient communications more effectively.
The Role
This is a dual role combining front-of-house reception duties with responsibility for our CRM (Customer Relationship Management) system, ideal for someone who is organised, tech-confident, and enjoys turning enquiries into booked appointments.
Reception duties:
- Greeting patients and managing the front desk
- Booking, confirming, and managing appointments via SOE (Software of Excellence)
- Answering phone calls and email enquiries
- Processing patient payments and managing NHS/private registrations
- Maintaining accurate patient records and GDPR compliance
- General administrative support to the clinical team
CRM Lead duties:
- Managing and maintaining the practice's CRM system, ensuring patient and enquiry data is accurate and up to date
- Tracking new patient enquiries from first contact through to booked appointment
- Following up promptly on unconverted leads and missed opportunities
- Monitoring response times and enquiry outcomes, flagging any gaps in follow-up
- Supporting recall and reactivation campaigns for existing patients
- Working with the practice management team to report on enquiry volumes, conversion rates, and CRM performance
- Helping refine CRM workflows and templates (email/SMS follow-ups, reminders, etc.)
What We're Looking For
- Previous experience in a dental or medical reception role (essential)
- Experience using a CRM system or similar lead-tracking software (preferred; training provided)
- Excellent communication skills, both written and verbal
- Highly organised, with strong attention to detail and follow-through
- Comfortable working with data and spreadsheets/reporting
- A proactive, patient-focused approach to converting enquiries into bookings
- Experience with SOE or similar dental practice management software is an advantage
