Role Overview
The Office Manager will play a key role in ensuring the smooth, professional and efficient running of Scottish Engineering’s day-to-day operations. Acting as a central point of coordination for colleagues, members, visitors and suppliers, the postholder will provide high-quality administrative, operational and front-of-house support across the organisation.
This is a varied and hands-on role requiring excellent organisational skills, strong attention to detail, discretion, initiative and a warm, professional approach. The successful candidate will help maintain an organised, welcoming and well-supported working environment, enabling the Scottish Engineering team to deliver excellent service to members and stakeholders across Scotland’s engineering and manufacturing sector.
Key Responsibilities
· Oversee the smooth day-to-day running of the office, ensuring it is professional, welcoming, well-organised and appropriately resourced.
· Act as a first point of contact for general enquiries, visitors, suppliers and building-related matters, ensuring a positive and responsive experience.
· Manage office supplies, equipment, meeting rooms, catering arrangements and general facilities requirements.
· Maintain effective administrative systems, records and filing processes, ensuring information is accurate, accessible and handled appropriately.
· Support colleagues with scheduling, meeting coordination, document preparation and general administrative requirements.
· Lead, motivate and develop Business Support Team Members
· Work alongside senior management to support business growth and continuous improve initiatives.
Essential skills and experience
· Experience in office management, administration, operations support or a similar role.
· Excellent organisational skills, with the ability to manage competing priorities and work accurately under pressure.
· Strong written and verbal communication skills, with a professional and approachable manner.
· High level of attention to detail and confidence working with records, documents and office systems.
· Good working knowledge of Microsoft 365, including Outlook, Word, PowerPoint, Excel, Teams and SharePoint or equivalent systems.
· Ability to work independently, use initiative and identify practical solutions.
· Commitment to confidentiality, data protection and professional standards.
· Experience in managing Administration or Operations Support Teams.
· Experience in conducting performance reviews and development conversations.
