Summary
We are seeking a highly organized and proactive Personal Assistant to the Director at Southampton General Hospital. This role is vital in supporting our leadership team to ensure smooth operations and effective communication within NHS based in Southampton.
Responsibilities
- Manage the Director's schedule, appointments, and travel arrangements with precision.
- Prepare and organize documents, reports, and correspondence.
- Act as a liaison between the Director and internal teams or external partners.
- Coordinate meetings, including scheduling, agenda preparation, and minute-taking.
- Handle incoming calls and emails with professionalism and confidentiality.
- Assist with project management tasks as needed.
- Support administrative tasks to ensure efficient office operations.
- Qualifications
- Proven experience as a Personal Assistant or in an administrative role supporting senior management.
- Excellent organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Minute-Taking
- Strong communication skills, both written and verbal.
- Ability to handle sensitive information with discretion.
- Attention to detail and problem-solving skills.
- Experience with data entry and clerical tasks.
- Preferred: Experience using QuickBooks or similar accounting software.
