Job Function/Purpose:
The Operations Administrator provides comprehensive administrative and operational support to ensure the smooth day-to-day running of the Operations Department. The role is responsible for managing order documentation, printing and sorting works orders, providing console and system support, maintaining operational records, and assisting operational teams with a variety of administrative functions. The post holder will act as a key point of contact, ensuring accuracy, efficiency, and excellent service across all operational activities.
Key Responsibilities
Order Management
· Print, process, and distribute works orders in a timely and accurate manner.
· Sort and organise orders according to operational requirements, routes, departments, or customer specifications.
· Monitor order status and update relevant systems with accurate information.
· Liaise with operational teams to resolve order discrepancies or issues.
· Maintain order documentation and records in line with company procedures.
· Support the tracking of customer orders from receipt through to completion.
· Sork in progress stock checks.
Operations Administration
· Provide administrative support across all areas of the Operations Department.
· Prepare, maintain, and update operational reports, spreadsheets, and databases.
· Ensure all operational paperwork is completed, filed, and archived correctly.
· Assist in the preparation of departmental KPIs and performance reports.
· Coordinate and distribute operational communications as required.
· Support operational planning and scheduling activities.
Console & Systems Support
· Provide first-line support for operational systems and consoles.
· Monitor system activity and escalate issues when required.
· Assist colleagues with system access, navigation, and troubleshooting.
· Maintain accurate records of system incidents and resolutions.
· Support the implementation of process improvements within operational systems.
General Operational Support
· Act as a central point of contact for operational queries.
· Assist supervisors and managers with administrative tasks and projects.
· Support stock, equipment, and consumable ordering where required.
· Support continuous improvement initiatives and operational audits.
· Ensure compliance with company procedures, health and safety requirements, and quality standards.
General Administrative Duties
· Answer telephone and email enquiries professionally.
· Manage incoming and outgoing correspondence, when required.
· Maintain filing systems, both electronic and paper based.
· Provide cover for other administrative roles during periods of absence or increased workload.
· Undertake any other reasonable duties associated with the role as required by management.
Knowledge, Skills & Experience
Essential
· Previous administrative experience within a fast-paced operational environment.
· Strong organisational and time management skills.
· Excellent attention to detail and accuracy.
· Good working knowledge of Microsoft Office applications, particularly Excel, Word, and Outlook.
· Ability to manage multiple tasks and prioritise workload effectively.
· Strong communication and interpersonal skills.
· Ability to work independently and as part of a team.
