Office Administrator (incorporating reception duties) / Litigation Assistant

The Dental Law Partnership is the UK’s leading law firm dedicated to representing patients who have suffered from dental negligence. With a strong reputation for achieving outstanding results and a mission to ensure justice for our clients, we are now looking to grow our team by hiring a talented and driven Office Administrator/Litigation Assistant.
Key Responsibilities:
1. To ensure all their correspondence is filed correctly.
2. Taking telephone messages from clients when fee earners are not available.
3. Answering clients’ minor queries regarding their claims.
Assisting with Post as follows:
a) Opening
b) Scanning
c) Putting up – once signed all letters/parcels given to you for you to insert in envelope and frank in readiness for collection by Royal Mail at 5pm.
2. All filing and maintaining files in good order so that they are complete and easily traceable. (Filing must, where possible, be done on a daily basis).
3. Photocopying as and when required.
4. Ensuring printers are stocked with papers.
5. Monitoring stationery supplies and ordering the same.
6. Placing all incoming post into relevant fee earner pigeon-holes once scanned in (once appropriate training given).
7. Answering the telephone, taking messages for fee earners when not available; answering clients’ queries wherever possible.
8. Type letters, forms, documents and general correspondence as requested. There is no dictation.
9. Any other duties as may be directed.
Office Systems
1. Have knowledge of and comply with all applicable office procedures as defined in the firm’s Employee Handbook and Case Management Manual.
2. Be able to use the following office equipment:
· Telephone system
· The firm’s case management system and Microsoft word.
· Printers
· Photocopier
· Franking Machine
2. Undertake any other tasks, as reasonable within the job-holder’s capabilities and as may be expected in a small organisation where successful running relies on teamwork and flexibility.
Skills and Personal Characteristics Required
1. Ability to maintain good communications with all fee earners and support staff.
2. Ability to communicate effectively orally and in writing.
3. Good telephone manner with clients.
4. Ability to work under pressure.
5. Willing to comply with or suggest improvements to the firm’s procedures.
6. Computer literate and knowledge of software applications.
7. Patience and a sense of humour.
