Work under the supervision of the Client Relationship Manager to support the Conveyancing Department in delivering a high level of customer service to clients.
You will be responsible for opening files, onboarding clients and liaising with clients and third parties to provide regular and efficient updates in respect of the client’s conveyancing matters.
This will involve proactively assisting clients to deliver a high level of service and client satisfaction from the moment they are onboarded, through to completion, ensuring the correct procedure is followed throughout
You will be responsible for liaising with estate agents, brokers and solicitors on the other side of the transaction to ensure progress is being made in a timely matter
In addition, the role will involve maintaining and developing relationships with the firm’s partnership panel members, and upselling other Kidwells services.

The ideal candidate will have excellent organisational skills and be able to autonomously manage their workload, ensuring regular contact with clients, referrers, and service providers.
Primary Responsibilities
· Opening files and Onboarding clients in line with compliance procedures.
· Ensure we have all required documentation pertaining to the clients matter in a timely manner.
· Regularly track the progress of client matters to ensure client expectations are met.
· Build and maintain strong, long-term relationships with clients.
· Efficiently and proactively communicate with clients and third parties, providing regular updates.
· Identify and address any potential client dissatisfaction.
· Collaborate closely with the Conveyancing Department to deliver a seamless service.
· Maintain accurate and up-to-date records on the Case Management System.
· Monitor internal systems to ensure cases are progressed efficiently.
· Effectively liaise with relevant departments within the firm.
· Maintain and develop relationships with existing partnership panel members.
· Assist with onboarding new service providers to the firm’s partnership panel.
· Make appropriate referrals to approved service providers where suitable, ensuring a positive client experience.
· Act as a key point of contact for partnership panel members and referrers, ensuring strong ongoing relationships.
· Adhere to all company policies and procedures.

Knowledge (Essential)
· Understanding on how to use MS Office.
Knowledge (Desirable)
· Legal terminology, regulations and HM Land Registry system, although full training will be given.
· Ability to work with legal technology (HM Land Registry filing, computer systems, transcription software, Dictaphone etc.)
· Understanding of the conveyancing process.
