We are seeking a highly organised and detail-oriented Temporary Records & Archive Administrator to support an important records management project. This role will involve reviewing, organising, cataloguing and preparing key business records for transfer to a digital archive system.
This is an excellent opportunity for someone with strong administrative skills who enjoys working methodically, handling confidential information responsibly, and contributing to an important organisational project.
The Role
Working closely with the Management Team, you will help ensure that historical and current records are accurately organised, indexed and prepared for electronic archiving. The successful candidate will play a key role in improving the accessibility, security and long-term management of important organisational records.
Key Responsibilities
- Sort, review and organise existing paper records.
- Identify, categorise and prepare files for digitisation by an external provider or internal process.
- Create and maintain accurate records of file contents and archive references.
- Catalogue and index records to ensure they can be easily located and retrieved.
- Verify that files are complete, correctly labelled and organised in accordance with agreed procedures.
- Maintain detailed logs and tracking records relating to archived documents.
- Handle confidential and sensitive information in accordance with data protection requirements.
- Identify duplicate, obsolete or unnecessary records in line with retention guidelines.
- Support the Management Team with administrative tasks associated with the archiving project.
- Maintain a high level of accuracy and quality control throughout the project.
Skills and Experience
Essential
- Excellent attention to detail and a high degree of accuracy.
- Strong IT skills, including Microsoft Office applications, particularly Excel.
- Good organisational and time management skills.
- Ability to work independently and manage a large volume of records systematically.
- Strong written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Reliable, methodical and able to follow procedures consistently.
Desirable
- Previous experience in administration, records management, archiving, document control or office administration.
- Experience working with filing systems and record cataloguing.
- Knowledge of document retention and data protection requirements.
- Experience working within health, social care, charity or not-for-profit organisations.
