Role Overview
We are seeking a highly organised and proactive Property Assistant to support the day-to-day management of a residential property portfolio. The successful candidate will have strong administrative and PA skills, excellent attention to detail, and a good understanding of tenancy progression, property inspections, inventory reports, compliance and move-in/move-out procedures.
This role is ideal for someone with experience in residential lettings, property management, or estate agency administration who can confidently assist the team.
Key Responsibilities
Property Administration
- Provide comprehensive administrative support to the Property Managers and Managers.
- Maintain accurate property, tenancy, landlord, and tenant records.
- Prepare tenancy documentation, agreements, notices, and related correspondence.
- Manage diaries, appointments, meetings, and property inspection schedules.
- Handle incoming calls, emails, and enquiries professionally and efficiently.
- Ensure all property files and compliance documents are up to date.
Tenancy Progression
- Support the tenancy progression process from offer acceptance through to move-in.
- Coordinate referencing, Right to Rent checks, deposit registration, and tenancy agreements.
- Liaise with tenants, landlords, and third-party providers to ensure a smooth onboarding process.
- Track tenancy milestones and ensure all required documentation is completed within deadlines.
Inventory & Inspections
- Review and manage inventory and schedule of condition reports.
- Coordinate check-in and check-out appointments.
- Assist with property inspections and ensure reports are completed accurately.
- Monitor and follow up on issues identified during inspections.
Property Management Support
- Ensure compliance certificates are current, including gas safety, electrical inspections, EPCs, and other statutory requirements.
- Support landlords and tenants with routine property management enquiries.
Personal Assistant Duties
- Manage calendars and appointments for senior management.
- Arrange meetings, travel, and accommodation when required.
- Prepare reports, presentations, and correspondence.
- Assist with project coordination and general business administration.
Skills & Experience
Essential
- Previous experience in residential lettings, property management, or estate agency administration.
- Strong understanding of tenancy progression processes.
- Experience reviewing or coordinating inventory and schedule of condition reports.
- Excellent administrative and organisational skills.
- Strong verbal and written communication skills.
- Ability to prioritise workload and manage multiple tasks simultaneously.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- High level of accuracy and attention to detail.
Desirable
- Experience using property management software (Qube).
- Knowledge of current residential lettings legislation and compliance requirements.
- Experience supporting senior executives or directors in a PA capacity.
Pay: £30,000.00 per year
