This is a brilliant opportunity for an experienced Office Manager to join a small, friendly and well-established firm of accountants.
With a close-knit team of nine people, the firm offers the type of working environment where everyone knows one another, people genuinely support each other and your contribution will be noticed.
You will be trusted to take ownership of the day-to-day running of the office, coordinate the team and ensure clients, systems and workloads are managed effectively. You will have plenty of autonomy to organise things in the right way, while receiving ongoing support from the firm’s directors whenever you need it.
This is a varied, hands-on position that would suit someone who enjoys being at the centre of a business and making sure everything runs smoothly.
The role
Acting as the link between the directors, staff, clients and external organisations, your responsibilities will include:
- Overseeing the day-to-day administration of the office
- Coordinating client onboarding and offboarding
- Maintaining accurate client records across the firm’s systems
- Monitoring workflows, deadlines and staff workloads
- Ensuring tasks are allocated, recorded and followed through
- Acting as a professional first point of contact for clients
- Coordinating client meetings, documents and approvals
- Supporting routine HMRC and Companies House administration
- Providing day-to-day coordination and support to the wider team
- Supervising and developing the office administration apprentice
- Improving systems, checklists and administrative processes
You will not be expected to provide technical tax or accounting advice. The directors and qualified members of the team will remain responsible for technical decisions, approvals and more complex matters.
What we are looking for
You will need strong experience within office management, senior administration, client services or operational coordination.
You should be:
- Highly organised, methodical and accurate
- Comfortable managing several deadlines and priorities
- Confident communicating with clients by telephone, email and in person
- Experienced in coordinating or supervising staff
- Comfortable with invoicing, reconciliations and credit control
- Proactive and able to see tasks through to completion
- Discreet when handling confidential client and financial information
- Confident learning and using different systems
- Calm, approachable and comfortable working in a small team
Accountancy-practice experience
Previous experience working within an accountancy practice would be a real advantage.
The role includes responsibilities such as HMRC authorisations, Companies House filings, client onboarding, engagement processes and maintaining records across accountancy-practice systems. Someone already working as an Office Manager, Practice Manager or Senior Administrator within a firm of accountants is therefore likely to recognise many of the processes involved.
However, accountancy-practice experience is not essential.
Applications are also welcomed from experienced Office Managers who have worked within another professional-services, regulated or client-focused environment and have the organisation, judgement and confidence to learn the more specialist elements of the role.
