ROLE OVERVIEW
East End Press is seeking an experienced, highly organised, and versatile Finance Assistant to manage day-to-day bookkeeping and end-to-end financial administration. As an international brand with an e-commerce site, brick-and-mortar retail shop, global wholesale operations (Shopify, Faire), a US legal entity, and overseas manufacturing in India, our setup requires a candidate with distinct, practical accounting experience across multi-currency operations, import duties, and cross-border tax compliance.
KEY AREAS OF RESPONSIBILITY
Bookkeeping, Cashflow & Reconciliations
- Categorise and reconcile all bank, card, and payment platform transactions (Shopify Payments, Faire, Stripe, PayPal).
- Perform weekly multi-currency reconciliations across UK, US, and foreign accounts, handling FX differences and fees.
- Issue invoices, track customer accounts, resolve short payments, duplicate charges, and manage credit notes.
- Reconcile daily cashing-up records, card settlements, and petty cash for the Glasgow brick-and-mortar retail shop.
- Prepare cashflow planning reports detailing cash balances, supplier liabilities, and outstanding customer invoices.
- Document financial procedures and maintain a structured digital filing audit trail.
Import Accounting & C79 Reconciliations
- Process invoices, deposits, and staged payments for Indian manufacturers and international suppliers.
- Download, check, and reconcile monthly C79 import VAT certificates and postponed import VAT statements.
- Account for customs duties, import VAT, freight, insurance, and handling fees to calculate accurate product landed costs data to assist with product pricing.
UK & US Tax & Entity Administration
- Prepare records and supporting documentation for quarterly UK VAT returns in coordination with the external accountant.
- Help establish and manage systems to track state-by-state sales thresholds, tax registrations, and filing deadlines as US sales expand. Maintain clean accounting records for the company’s US legal entity and ensure correct sales-tax setup across Shopify.
REQUIREMENTS & CORE COMPETENCIES
- Hands-On Bookkeeping Experience: Proven track record in core bookkeeping and accounts administration using accounting software (preferably QuickBooks) and advanced Excel.
- Import & Customs Expertise: Practical knowledge of accounting for non-UK imports, import VAT, C79 certificates, postponed import VAT, and landed-cost calculations.
- Multi-Currency & Platform Reconciliations: Demonstrated proficiency in managing multi-currency accounts, foreign exchange differences, and complex e-commerce/wholesale payout structures.
- US Tax Exposure: Direct experience or strong foundational understanding of US state sales-tax processes, thresholds, and US entity accounting (desirable).
- Self-Directed & Detail-Oriented: Ability to independently manage recurring tax and reporting deadlines within a focused 2 day per week working structure.
