Job Overview: We are seeking a proactive and highly organised Logistics Coordinator to oversee and manage the day-to-day logistics operations of our landscape business. The ideal candidate will be responsible for ensuring that our teams, tools, and materials are where they need to be, on time, and within budget. This role is essential in supporting efficient project delivery and maintaining high standards of service across all job sites.
Key Responsibilities: Manage scheduling, planning, and coordination of multiple landscaping teams, ensuring jobs are completed on time and resources are used efficiently. Oversee materials, equipment, and vehicle logistics, including deliveries, inventory, and tool management. Liaise with site supervisors and suppliers to address project-specific needs, resolve on-site issues, and maintain smooth operations. Handle job-specific logistics, waste management, and supplier negotiations while tracking costs, budgets, and overall project performance. Ensure compliance with health, safety, and equipment standards across all sites.
Scheduling & Planning: Coordinate daily and weekly schedules for all teams. Maintaining oversight of booked jobs, job durations, team allocations, and managing situations where jobs run over schedule. Actively track jobs in the pipeline and provide daily updates on job progress while managing 3/4 teams. Plan and manage vehicle and equipment usage to maximise efficiency, working closely with the team to ensure resources are allocated appropriately across multiple job sites.
Materials & Equipment Management: Oversee materials and equipment management by ordering, tracking, and arranging the delivery of landscaping all materials. Maintain appropriate inventory levels and liaise with suppliers to ensure timely restocking. Provide daily updates on material ETAs, keeping the team informed on delivery times, and act as the main point of contact for the team regarding materials and equipment. Manage the purchasing of tools as needed to support efficient day-to-day operations.
Transport & Delivery Coordination: Manage vehicle logistics by coordinating fleet scheduling, overseeing maintenance, and monitoring fuel usage to ensure efficient operations. Arrange transport for large materials or specialist equipment when required, and track and confirm deliveries to ensure all materials arrive on time at the appropriate job site
Site Support: Liaise closely with site supervisors to understand project-specific logistical requirements and respond quickly and efficiently to any on-site logistical issues to minimise delays and maintain smooth operations.
Health & Safety: Ensure compliance with all transport, vehicle, and equipment safety standards, maintaining up-to-date records of vehicle inspections, tool checks, and relevant risk assessments to support safe and compliant operations.
Communication & Coordination: Act as the central point of contact between site teams, suppliers, and the wider team for all logistical matters, providing regular updates on delivery status, inventory levels, and any changes to schedules or plans to ensure clear communication and smooth coordination.
Logistics & Organization: Take full control of jobs from start to finish, managing all job-specific logistics to meet project timelines and budgets. versee waste management processes, arranging appropriate waste services such as skips, grab lorries, or tipper loads, and ensuring correct disposal in line with legal and environmental requirements. Organise and maintain job bags containing all relevant documentation, plans, and schedules for each project. Manage the full ordering process from quote approval through to delivery scheduling, including making confirmation calls and overseeing the complete wholesale cycle. Negotiate supplier rates on a monthly basis to secure the best pricing and most reliable suppliers. Maintain effective yard management by monitoring stock levels to ensure materials are available and well organised.
Financial Administration: Assist with tracking job costs, budgets, and overall financial performance across projects, ensuring accurate records and supporting efficient financial management and reporting.

Qualifications & Experience: ● Proven experience in a logistics, operations, or coordination role (landscaping, construction, or similar industry preferred)
Pay: £25,000.00-£27,000.00 per year
