As our client base expands, we are seeking a highly organised and proactive Office Administrator to support contract delivery, documentation, workforce coordination, and client communication.
This role is ideal for someone who is detail‑driven, confident liaising with multiple stakeholders, and experienced in managing contract‑related workflows.
Key Responsibilities
Timesheet Management
- Collect, review, and verify staff and contractor timesheets
- Resolve discrepancies and ensure timely submission
- Liaise with managers regarding hours and project allocations
- Prepare reports for payroll and internal use
HR Responsibilities
- Maintain and update employee records
- Support onboarding/offboarding and employee compliance
- Schedule interviews, prepare HR documentation, and assist with recruitment admin
- Coordinate training sessions, annual leave, and HR correspondence
- Managing employee training files
Office Administration
- Oversee daily office operations and act as first point of contact
- Manage correspondence, scheduling, filing, and general admin tasks
- Maintain office supplies and equipment
- Support managers with documentation, meeting preparation, and reporting
- Health and Safety compliance and accreditations document control – SafeContractor, Constructionline and ISO.
Job Coordination & Planning
- Assist with planning and scheduling jobs and projects
- Coordinate with teams to ensure job requirements and resources are in place
- Track job progress, deadlines, and updates using Job Logic
- Ensure effective communication between office and field teams
- Booking accommodations and travel arrangments
- Order Placements & Procurement
- Raise and process purchase orders via Job Logic
- Liaise with suppliers to obtain quotes and place orders
- Track deliveries, ensure accurate documentation, and maintain supplier records
- Monitor stock levels and reorder as required
Job Reporting
- Prepare daily/weekly/monthly job reports for management
- Update job databases and documentation systems
- Review job progress, costs, and completion summaries
- Provide administrative support for invoicing and project reports
- Issue client certificates;
- Prepare photographic reports;
Requirements:
- Proven experience in administration (office, HR, or operations)
- Strong organisational and multitasking abilities
- Excellent communication and interpersonal skills
- Confident using Microsoft Office and digital admin tools
- Able to work independently and proactively
- Strong attention to detail and problem-solving mindset
Pay: £13.50-£17.00 per hour
