The Opportunity
The Contracts Support Assistant provides high-quality administrative, reporting and customer communication support to the Contracts Team. The role is central to ensuring every contract is accurately prepared, communicated and documented before, during and after service delivery.
What We're Looking For
We're looking for someone who enjoys administration, systems, Microsoft Excel and producing high-quality documentation while delivering outstanding customer service.
Key Responsibilities
- Create and maintain jobs within company systems.
- Prepare job packs, purchase orders and contract administration documents.
- Issue planned visit confirmations, PPM notifications and customer pre-visit information.
- Communicate client obligations and site requirements before attendance.
- Review reports for grammar, presentation, accuracy and sufficient technical detail
- Issue completed reports and supporting documentation to customers.
- Issue customer satisfaction surveys and record feedback.
- Maintain accurate spreadsheets, records and contract documentation.
- Record and maintain accurate job, customer and service information within Salesforce.
- Maintain accurate contract records to support proactive customer engagement, future service planning and contract renewals.
- Support the close down of completed jobs, ensuring all documentation is complete and contracts are prepared for future renewals and planned maintenance.
- Support Contracts Coordinators with day-to-day administration and customer communication.
Experience, Skills & Qualifications
Essential
- Previous administration experience.
- Excellent Microsoft Excel, Word and Outlook skills.
- Exceptional attention to detail and written English.
- Strong organisational skills and customer service focus.
- Professional communication skills.
Desirable
- Experience with Reporting Systems, CRM or field service software.
- Experience within engineering, facilities management or compliance services.
