We're recruiting an Executive Assistant to provide professional and proactive administrative support to the Assistant Director of Repairs & Compliance and Director of Housing. This is a key support role, ideal for someone highly organised, detail-focused, and experienced in working with senior stakeholders within a busy environment.
About the Role:
As an Executive Assistant, you'll provide high-level diary, administrative, and operational support to senior leaders, ensuring effective coordination of meetings, communications, and business processes.
What You'll Be Doing:
- Providing professional administrative and operational support to senior managers and directors
- Managing complex calendars and ensuring effective use of senior leaders' time
- Arranging meetings, securing venues, issuing invitations, preparing agendas, and coordinating paperwork
- Taking meeting minutes, maintaining action logs, and tracking outstanding tasks
- Reviewing meeting papers and highlighting key actions and priorities for Directors
- Managing meeting changes, attendance priorities, and stakeholder communications
- Monitoring email inboxes for urgent enquiries, including Member and stakeholder requests
- Responding to queries, redirecting enquiries, and ensuring actions are followed up
- Issuing reminders and tracking responses for information requests and management actions
- Supporting administrative processes including staff records, sickness and annual leave monitoring, recruitment, timesheets, and approvals
- Assisting with procurement, invoicing, and financial administration tasks
What We're Looking For:
We're looking for someone organised, proactive, and confident supporting senior leaders while managing multiple priorities in a fast-paced environment.
You'll Ideally Have:
- Minimum 2 years' relevant administrative experience with suitable references
- Experience providing support to senior managers or directors
- Strong organisational and time-management skills
- Ability to manage competing priorities and meet deadlines
- Excellent written and verbal communication skills
- Strong attention to detail and ability to handle confidential information
- Confident IT skills and experience using administrative systems
- Ability to work independently and as part of a team
Nice-to-Have Requirements:
- Experience working within housing, repairs, compliance, or a public sector environment
- Experience managing senior-level diaries and coordinating complex meetings
- Knowledge of administrative systems, procurement processes, and approval procedures
