Job Title: Administrator / Assistant to Office Manager
Days: Monday to Friday
Hours: 8am-5.00pm
Reports to: Office Manager
Excellent opportunity to join a growing Chepstow based Heating & Plumbing Company.
We are actively looking for a dynamic administrator to help coordinate the busy ever-changing schedule & manage small / large projects.
Full training will be given as you will be working closely with the office manager. Experience in a similar role is an advantage but not essential. The most important aspect of the job will be a willingness to learn as there will be scope to take on more work. Attention to detail and the ability to follow things through to the end is essential.
The ideal candidate would be required to be good on the phone and very organised. Diligent, tidy, endowed with common sense and the ability to take responsibility. Needs to be consistent and able to complete tasks thoroughly applying intelligence and broader understanding where necessary. Good under pressure, punctual, and flexible.

Duties:
- Provide a timely and accurate response to enquiries from customers.
- Assist the office manager with scheduling engineers.
- Processing new jobs using scheduling software Schedule IT (training will be provided).
- Scheduling the engineer’s diary & allocating jobs.
- Organising Gas Safety Checks with Landlords, Agents & tenants
- To ensure that information is accurately recorded and that industry processes are followed.
- Invoicing via Sage (full training will be provided).
- Arranging delivery & installation schedules.
- Confirming orders & installation dates with customers.
- Arranging onsite access.
- Maintaining good relationships with clients & engineers.
- Monitoring and reviewing project progress directly with the customer and identifying improvements and efficiencies.
- Purchasing of consumables and stock for specific jobs.
- Carrying out general office duties such as maintaining accurate electronic and paper filing, archiving and document scanning.
