Overview
We are seeking a dynamic and detail-oriented Office Administrator/Bookkeeper to join our team! This vital role combines efficient office management with accurate financial record-keeping, ensuring our operations run smoothly and our financial data remains precise. Duties
- Manage daily office operations, including greeting visitors, handling correspondence, and organizing meetings to keep the office running seamlessly
- Maintain accurate financial records using popular accounting software Xero and Tradify, Construction AI.
- Process accounts payable by verifying invoices, preparing payments, and ensuring timely vendor settlements
- Reconcile bank statements and credit card transactions regularly to ensure data accuracy
- Assist with payroll processing and employee expense reimbursements
- Subcontractor CIS varification/deductions and payments
- Quarterly VAT returns, reconcilation and payment
- Support the preparation of financial reports, budgets, and audit documentation as needed
- Organize and maintain filing systems for both administrative documents and financial records to ensure easy retrieval and compliance
- Proven experience in office administration combined with bookkeeping responsibilities in a fast-paced environment
- Proficiency in accounting software such as Xero is essential; familiarity with multiple platforms is a plus
- Strong understanding of accounts payable processes and general ledger management
- Excellent organizational skills with keen attention to detail and accuracy in data entry
- Ability to prioritize tasks effectively while managing multiple responsibilities simultaneously
- Excellent communication skills, both written and verbal, to collaborate across teams and vendors
- Prior experience working with various accounting tools and maintaining financial records is highly desirable
