Salary: £24,155 – £28,500 per annum (dependent on experience)
Hours: 35 hours per week
- Term Time: Monday–Friday, 10:00am – 5:00pm
- School Holidays: Monday–Friday, 8:00am – 3:00pm
Location: Time4Sport Head Office (with occasional travel as required)

The Opportunity
We are looking for an exceptional organiser to become the operational backbone of Time4Sport.
This is far more than an administration role.
We're looking for someone who naturally keeps people organised, loves creating systems, enjoys solving problems before they happen and takes pride in making sure everything runs smoothly.
You'll become the central point of coordination across the organisation, supporting our Senior Management Team and ensuring the business operates efficiently every day.
You'll often be the first voice people hear when they contact Time4Sport and the first impression they receive through our emails. Professionalism, warmth and excellent customer service are therefore essential.

Purpose of the Role
The Business Operations Coordinator will provide high-quality operational, administrative and executive support across all areas of Time4Sport.
Working closely with the Managing Director and Senior Management Team, you will coordinate day-to-day business operations, maintain compliance, improve systems, support projects and ensure the organisation continues to deliver outstanding services.
You will become the central point of support for our leadership team, helping to ensure nothing is missed and everything runs efficiently.
Key Responsibilities
Executive & PA Support
- Provide professional PA support to the Managing Director and Senior Management Team.
- Prepare meeting agendas and take accurate minutes.
- Monitor actions from meetings and ensure deadlines are achieved.
- Prepare presentations, reports and business documentation.
- Draft professional correspondence and emails.
- Ensure managers are organised and prepared for meetings and events.
Business Administration
- Become the central administrative hub for Time4Sport.
- Answer telephone enquiries professionally, acting as the welcoming voice of Time4Sport.
- Respond to enquiries via email in a friendly, professional and customer-focused manner.
- Maintain excellent relationships with schools, parents, partners and suppliers.
- Be business administration across all departments.
- Maintain accurate filing systems and business records.
- Support company events, meetings and projects.
Operations Support
Support the delivery of all Time4Sport services including:
- School Services
- Swimming
- Holiday Camps
- Health & Wellbeing Programmes
- Marketing & Communications
- Workforce Development
Responsibilities include:
- Supporting operational planning.
- Coordinating meetings.
- Monitoring business priorities.
- Following up actions.
- Supporting managers with administrative tasks.
- Improving systems and processes.
Compliance & Governance
- Maintain company policies and procedures.
- Monitor policy review dates and ensure documentation remains current.
- Maintain safeguarding records.
- Monitor DBS renewals.
- Track mandatory staff training.
- Maintain compliance documentation.
- Support Quality Assurance processes.
- Prepare documentation for inspections, audits and funding requirements.
Equipment & Resource Management
- Manage company equipment and resources.
- Maintain accurate equipment inventories.
- Order office supplies and programme resources.
- Monitor stock levels.
- Ensure staff have the resources required to deliver high-quality services.
- Support vehicle, facility and equipment administration where appropriate.
Human Resources Administration
- Support recruitment processes.
- Prepare contracts and onboarding documentation.
- Coordinate staff inductions.
- Maintain confidential personnel records.
- Monitor holidays and absence records.
- Organise training bookings.
- Support workforce administration.
IT & Digital Systems
- Maintain organised digital filing systems.
- Support the ongoing development and organisation of Microsoft SharePoint.
- Ensure documentation is stored consistently and securely.
- Produce high-quality documents using Microsoft Office.
- Help improve digital systems and business processes.
Finance Administration
- Support budget monitoring where appropriate.
- Assist with financial administration across projects.
Continuous Improvement
- Identify opportunities to improve business systems.
- Recommend efficiencies to reduce administration.
- Help develop new processes.
- Support innovation across the organisation.
- Promote best practice across all departments.
