About BM Electricals
BM Electricals is a growing electrical contractor providing commercial electrical installations, maintenance, testing and compliance, Solar PV, battery storage and EV charging services across London, Berkshire and the South East.
We are looking for a highly organised and proactive Office Administrator to support the day-to-day running of our business, engineers and management team.
Key ResponsibilitiesCustomer Service & Job Administration
- Answer incoming telephone calls and emails professionally.
- Respond to customer queries and provide job updates.
- Book appointments and coordinate engineer visits.
- Manage customer complaints and ensure they are recorded and followed through to resolution.
- Create and update jobs on the company's job management system.
- Ensure completed job sheets, photographs and customer sign-offs are received.
- Follow up with engineers regarding outstanding job information.
- Maintain accurate customer and job records.
Engineer & Staff Administration
- Assist with engineer diaries and scheduling.
- Maintain staff holiday and absence records.
- Process holiday requests and maintain the company holiday calendar.
- Maintain records relating to sickness and sick pay.
- Coordinate staff uniforms and PPE.
- Maintain employee training and qualification records.
- Monitor expiry dates for training, competency cards and certifications.
- Arrange training courses where required.
Vehicles
- Maintain records for company vehicles.
- Monitor MOT, servicing and insurance renewal dates.
- Arrange vehicle servicing and maintenance.
- Maintain vehicle documentation.
- Record vehicle defects and ensure repairs are arranged.
- Assist management with fleet administration.
Tools & Equipment
- Maintain the company's tool and equipment register.
- Keep records of equipment issued to engineers.
- Monitor test equipment calibration dates.
- Arrange calibration before certificates expire.
- Maintain calibration certificates and associated compliance documentation.
Materials & Suppliers
- Assist with ordering electrical materials and equipment.
- Raise and track purchase orders where required.
- Liaise with suppliers regarding deliveries and collections.
- Maintain records of materials ordered against jobs.
- Assist with basic stock control.
Electrical & Compliance Administration
- Maintain organised records for electrical certificates and compliance documentation.
- Assist engineers with NICEIC-related administration and certification records.
- Ensure completed certificates and supporting documents are correctly filed.
- Maintain company accreditation and compliance documentation.
- Monitor important renewal and expiry dates.
Solar PV, MCS & DNO Administration
The successful candidate will support the administration of the company's renewable energy installations. Training can be provided where necessary.
Responsibilities will include:
- Preparing and maintaining Solar PV and battery installation paperwork.
- Managing MCS project documentation.
- Collecting documents required for MCS certification.
- Submitting and tracking DNO applications.
- Maintaining records of G98/G99 applications and approvals.
- Ensuring installation documentation is complete before project close-out.
- Organising warranties, commissioning documents and customer handover packs.
- Maintaining accurate renewable-energy project files.
Office Administration
- Maintain an organised office and filing system.
- Manage office equipment and supplies.
- Maintain electronic and paper records.
- Prepare letters, documents and basic reports.
- Assist management with general administrative duties.
- Maintain company templates and forms.
- Support document control and filing.
- Help ensure important business documents can be located quickly when required.
Social Media & Marketing Support
- Assist with basic company social-media administration.
- Collect photographs and information from completed projects.
- Help prepare project updates and case-study information.
- Coordinate with management or external marketing providers where required.
- Help maintain professional company communications.
Essential Skills

Pay: £14,000.00-£40,112.60 per year
