ABOUT SMSC
Sean McInnes Sports Coaching is a growing sports coaching organisation delivering high-quality programmes across schools, football clubs and the wider community. We are looking for a highly organised, reliable and proactive Business Administrator & PA to Founder. This is a varied role supporting the Founder while helping to manage the day-to-day administration behind our programmes, bookings and larger projects. The successful candidate will be confident managing multiple priorities, communicating with different stakeholders and using online systems. They will need excellent attention to detail and the ability to work independently.
KEY RESPONSIBILITIES
PA and administrative support
- Manage the Founder’s diary, meetings, priorities and administrative workload.
- Support the Founder with general day-to-day administrative tasks.
- Prepare agendas, documents and action lists, taking notes where required.
- Draft routine emails and follow up with staff on agreed actions.
- Provide administrative support for larger business projects.
Enquiries, bookings, records and resources
- Respond to routine enquiries from parents, schools, staff and partners, escalating complex or safeguarding matters appropriately.
- Build and maintain programmes and booking pages on our site.
- Keep programme details, bookings, contact records and participant information accurate.
- Prepare and distribute registers, booking links and programme communications.
- Coordinate staff kit and distribution.
- Liaise with suppliers, monitor stock and order authorised programme equipment and materials.
Larger projects and event administration
- Provide administrative support for larger projects, programmes and events.
- Assist with registrations, participant information, event documentation and communications.
- Maintain accurate attendance records, trackers and information required for monitoring and reporting.
- Support planning, preparation and follow-up to help projects and events run smoothly.
PERSON SPECIFICATION
Essential
- Strong organisational and time-management skills.
- Excellent written and verbal communication.
- High levels of accuracy and attention to detail.
- Confidence using email, spreadsheets, shared documents and online systems.
- Ability to manage several tasks and deadlines at the same time.
- A professional and approachable manner.
- Ability to use initiative and work independently.
- Reliable, trustworthy and able to handle information confidentially.
Desirable
- Previous experience in administration, personal assistance or office support.
- Experience working with schools, families, sports organisations or community programmes.
- Experience using booking or customer-management platforms.
- Experience supporting events or larger projects.
