Part Time, with room to grow
London – Westbourne Studios, W10 5JJ | 2–3 days a week
About us
We’re an entrepreneurial Aussie family, originally from Melbourne, with an eclectic group of businesses across Australia, the US and now the UK – everything from caravans and arborist machinery to lab and medical products and, in my corner of the family business, quite a lot of laundry detergent.
The good news before I tell you this role covers UK, US and Australian companies: you are not expected to be the accountant for three countries.
The wider family group already has an established finance team around us, including an internal finance manager and external accountant in Australia, a US finance team, our UK accountant and AVASK supporting European VAT for the UK company.
You’ll work directly with me, Dakota, across five companies I run.
Three are Dacie Clean companies operating across the UK, US and Australia. They are essentially the same business, with each company responsible for a different regional market. All three sell our three brands:
- Daintie Delicates – specialist laundry care for intimate and period-related stains.
- PODBOSS – laundry detergent pods sold online, wholesale and in bulk to laundromats, accommodation providers and other commercial customers.
- Laundry Vending Products (LVP) – commercial laundry vending equipment and supplies, with a more traditional B2B customer base.
The other two companies are separate businesses I run with relatively low transaction volumes and fairly straightforward bookkeeping.
We opened our London office at Westbourne Studios in January 2026 as we started properly building out the UK and European side of the businesses, so it’s still a relatively new operation with plenty of systems being established and improved.
You’ll be the person with visibility across the whole picture. Because you’re with me day to day, you’ll know what has been purchased, where stock has moved, what is happening on Amazon, what still needs reconciling and what’s coming up next.
Around you are the people with the specialist jurisdiction knowledge – our Australian finance manager for BAS filing and accountant for annual corporate work, US finance team, UK accountant and AVASK for European VAT.
Your role is to connect it all: keeping the underlying books accurate, and if it's not something in your domain then getting the right information to the right people and making sure nothing gets lost between them.
I’ve got a bookkeeping background myself and have been looking after the accounts alongside actually running the businesses. It worked when everything was smaller. It does not scale particularly well.
I’m now looking for someone who can properly take this off my plate.
It sounds more complicated than it is
On paper, UK + US + Australia + five Xero files sounds like a lot.
In reality, much of the bookkeeping is the same ecommerce process repeated across slightly different companies. We use the same core systems – Xero, Amazon, Shopify and A2X – with the same underlying work: settlements, COGS, inventory, bank reconciliations, supplier bills and month-end.
The entities are also heavily connected. Stock might be purchased through one company and ultimately distributed or sold through another, so inventory, COGS and intercompany balances need to reconcile at both ends.
What you’ll actually do
- Own the day-to-day bookkeeping across the main 3 Xero entities.
- Handle bank and credit card reconciliations, supplier bills, invoices and expenses.
- Reconcile Amazon, Shopify and other ecommerce settlements through A2X.
- Maintain accurate COGS, including product cost, freight, duty and landed costs.
- Reconcile inventory, intercompany stock movements, transactions and balances across the entities.
- Prepare, review and file UK VAT returns.
- Prepare and reconcile European VAT figures for AVASK.
- Handle multicurrency transactions and FX differences.
- Support B2B invoicing, trade customers and accounts receivable.
- Support the finance side of UK payroll through BrightPay and employee expenses.
- Keep Companies House and routine UK company-secretarial requirements on schedule.
- Help manage EPR and packaging-compliance reporting, keeping the underlying sales and packaging information organised and coordinating with our compliance providers where required.
- Complete month-end close across the businesses and give me a short, plain-English summary of where everything sits.
- Prepare clean books and supporting information for our UK, US and Australian finance teams and accountants.
- Identify anything that needs jurisdiction-specific expertise, get it to the right person and follow it through.
- Build the calendars, checklists and systems that keep the finance function organised.
- Spot problems early and improve the process where something is repeatedly going wrong.
For the UK company, month-end reporting also feeds into our Home Office endorsing body reporting, so accuracy and deadlines genuinely matter.
There is some tidying up to do
I’d rather tell you this now than let you discover it in week two.
The books are broadly in order, but five sets of accounts maintained by a founder while simultaneously running the businesses inevitably accumulate things that could be cleaner.
The first phase will be getting everything properly reconciled and organised, then helping build the month-end routines, filing calendars, compliance calendars, checks and hand-offs that keep it that way.
After that, the role should settle into a much more predictable monthly rhythm.
Non-negotiables
- Xero.
- You genuinely know your way around it. All five entities are on Xero, so this is the foundation of the role.
- A2X.
You’ve actually used it. You understand what it’s doing with settlement data and know how to reconcile it properly, including where currencies differ.
Amazon and Shopify payouts, fees, refunds, reserves and marketplace accounting are already familiar territory. You understand physical products. Landed cost, freight, duty, inventory movements and stock sitting across entities need to make sense to you. We use A2X for COGS as well. You’ve worked with European VAT before and understand how the underlying Amazon and Shopify transactions ultimately feed into the returns. Experience with AVASK is a big plus.Nice to have
- COGS and inventory.
- European VAT.
Experience with multicurrency accounting, import duty/VAT and PVA, BrightPay, Amazon Seller Central, AVASK, EPR or packaging compliance, multiple entities/intercompany accounting, or some exposure to US or Australian accounting are all useful bonuses.
Xero certifications and qualifications such as AAT, ACCA, ACA/ICAEW, CIMA, ICB, IAB or ATT are welcome, but practical ecommerce bookkeeping experience matters more.
You’ll probably thrive here if you
You like owning a set of books rather than processing a queue of transactions.
You’re good at chasing things through. Sending an email is not the same as solving the problem.
You like systems. If something keeps going wrong, your instinct is to fix the process rather than keep fixing the individual transaction.
You’re self-directed. Nobody wants to look over your shoulder – the entire point of hiring you is that this comes off mine.
And you don’t mind working with a founder who understands bookkeeping. What you’re telling me will make sense, I’ll probably have opinions, and you’re absolutely allowed to tell me when mine are wrong.
You may also have to ask me for the same receipt four times.
I know. I’m working on it.
Where you’ll work
When I’m in the UK, this is primarily an in-person role at our Westbourne Studios office in London.
There’s a practical reason for that: I’m much easier to get information out of when you can grab me across a desk than when you’re waiting three days for me to reply to a Slack message.
When I’m travelling internationally – usually around three to four months of the year – work remotely if you like, or keep coming into the studio. The desk is yours either way.
Hours
Realistically, 2–3 days a week to start, and I’m flexible about which days.
Most of the team start around 10am and I tend to work across UK and US hours, so later starts are absolutely fine. If you have school runs, children, another commitment or simply function better on a slightly different schedule, we can work around that as long as there’s enough overlap to work together.
There’s also genuine room for this to become a full-time role later. As the businesses grow, there’s plenty of wider finance, administration and compliance work for the right person to take on.
To apply
Send us your CV/resume and a little about you.
Please don’t spend an evening writing a formal cover letter. I’d much rather know what you’ve worked on, what you’re particularly good at and why this role caught your eye.
If you’ve dealt with the wonderfully glamorous combination of Xero + A2X + Amazon + European VAT before, definitely tell me.
