Job Summary
We are seeking a highly organised, detail-oriented Business Support Administrator to join our busy, customer-focused team. This role is central to ensuring the smooth and accurate processing of customer orders, maintaining excellent communication with customers and suppliers, and supporting day-to-day office administration. The ideal candidate will be proactive, reliable, and comfortable working in a fast-paced environment where accuracy and customer satisfaction are key.
This is a full-time, permanent role based in our Glasgow office.
Key Responsibilities
Order Processing & Administration
· Serve as a primary point of contact for customer enquiries via phone, email and online platforms.
- Process customer orders accurately and efficiently, ensuring all details are correctly entered into internal systems.
- Generate quotations, issue order confirmations.
- Maintain accurate and up-to-date records of orders, customer details, inventory levels, and supplier information.
· Coordinate with internal teams—including sales, finance, and technical support—to resolve customer issues.
- Perform clerical and administrative tasks, including filing, data entry, and maintaining office supplies.
- Utilise Google Suite and Microsoft Office (Excel, Outlook) for documentation and communication purposes.
- Assist in preparing reports related to order status, lead times, and inventory levels.
Customer & Supplier Communication
- Manage incoming phone calls and emails professionally, providing timely responses and excellent customer service.
- Support both new and existing customers with a proactive, solutions-focused approach.
- Confirm order details, lead times, and delivery schedules; manage customer expectations throughout the process.
- Liaise with suppliers to track order progress and ensure customers are informed of delays or changes immediately.
- Build strong working relationships with customers, suppliers, and internal teams to ensure seamless order fulfilment.
· Track, monitor, and follow up on outstanding customer requests to ensure timely resolution.
Skills & Experience Required
- Minimum of 2–4 years administrative, customer service, or order processing experience.
- Excellent attention to detail with strong data entry accuracy.
- Confident communicator with a professional telephone manner.
- Highly organised, able to manage multiple tasks, and comfortable working under pressure.
- Proactive, motivated, and able to work well as part of a team.
- Competent in Google Suite; strong Excel and Outlook skills.
- Strong problem-solving skills and a positive, can-do attitude.
