We are looking for a Customer Service Representative to join our client's busy and supportive team. The position will be based from their Heathfield, Newton Abbot offices.
You will be a key point of contact for customers, providing a professional, helpful and responsive service across a range of enquiries and orders.
The role will involve managing customer orders and enquiries from initial contact through to fulfilment, ensuring information is accurate and customers are kept updated throughout the process.
This is an ideal opportunity for someone who enjoys working with people, has excellent attention to detail and takes pride in providing a high standard of customer service.
Hours
25 hours per week, worked flexibly between 7:30am and 4:30pm.
There is flexibility around the exact hours worked, but some hours must be worked each day across the working week.
Key responsibilities;
- Process customer orders, quotations and enquiries accurately and efficiently via phone and email.
- Track orders through to delivery, proactively updating customers regarding lead times, backorders or delays.
- Liaise with relevant internal teams to support customer queries, appointments and service updates.
- Ensure customer requirements and order specifications are accurately recorded and communicated.
- Coordinate more complex orders with the relevant internal teams, ensuring all required information is captured correctly.
- Respond to customer enquiries professionally and provide clear, accurate information.
- Support customers who may be unfamiliar with processes, products or terminology, communicating with patience and understanding.
- Escalate queries to the appropriate internal team where specialist advice is required.
- Handle complaints and service issues professionally, aiming for resolution wherever possible.
- Maintain accurate customer and order records within CRM/ERP systems.
- Process credits, returns and other customer administration in line with company procedures.
- Provide administrative support to other teams where required.
- Coordinate with relevant departments to support delivery schedules and customer requirements.
- Ensure records and documentation are maintained accurately and in a timely manner.
What we're looking for;
- Previous experience in a customer service, order processing or administrative role.
- Excellent verbal and written communication skills, with the ability to explain information clearly to a range of audiences.
- Strong attention to detail and accuracy when processing customer information and orders.
- Confidence using CRM/ERP systems and general Microsoft Office or Google Workspace tools.
- A patient, empathetic and professional approach to customer service.
- Ability to manage a high volume of enquiries while maintaining accuracy and a calm manner.
- Strong organisational skills and the ability to prioritise competing tasks.
