Are you a highly organised and motivated individual with a passion for delivering excellent administrative support? An exciting opportunity has arisen to join our Occupational Health Administration Team as an Occupational Health Administrator.
This is a key role within the team, providing professional and efficient administrative support to our Occupational Health clinicians and clients. You will play a vital part in ensuring the smooth day-to-day running of the service and will often be the first point of contact for staff and managers accessing Occupational Health services.
Main Duties – Occupational Health Administrator
Appointment Scheduling
- Coordinate and book appointments for Occupational Health clinicians, ensuring efficient use of clinical time.
- Reschedule appointments when necessary and communicate changes to all parties involved.
First Point of Contact
- Act as the first point of contact for clients and staff via telephone, email, and in person.
- Respond to queries professionally and direct more complex queries to appropriate team members.
Administrative Support
- Provide day-to-day administrative support to the Occupational Health team.
- Prepare and send correspondence, reports, and documentation as required.
- Data Entry and Record Keeping
- Maintain accurate and up-to-date electronic and paper records in line with confidentiality and data protection regulations.
- Input clinical data and appointment details into the Occupational Health system.
Report Generation
- Support data analysis for audits and service improvement initiatives.
Confidentiality and Compliance
- Handle sensitive health and employment information with strict confidentiality.
- Ensure all administrative processes comply with relevant policies, including GDPR and Occupational Health protocols.
Liaison and Communication
- Liaise with HR, managers, external partners, and healthcare providers to support case management and service delivery.
- Maintain professional and effective communication at all levels.
Stock and Supplies Management
- Order and monitor office and clinical supplies to support service operations.
- Ensure resources are stocked and available when needed.
- General office cleaning.
Support to Projects and Campaigns
- Assist in the coordination of health campaigns, staff health surveillance programs, and vaccination clinics.
- Support with business development by posting on social medica and supporting with promotional material
Must have:
- Previous experience in an administrative role, ideally within a healthcare or HR environment.
- Excellent grammar and proof reading skills.
- Strong organisational and communication skills with attention to detail.
- Confident in using IT systems including Microsoft Office (Word, Excel, Outlook).
- Able to work independently and as part of a busy, supportive team.
- A professional, friendly, and proactive approach to customer service.
- Understanding of confidentiality, GDPR, and sensitivity in handling personal and medical information.
