We are a growing, modern accountancy firm dedicated to providing exceptional service to our clients. As our client base continues to expand, we are looking for an organised and proactive Client Administration Assistant to join our team and help ensure the smooth running of the practice.

The Role
You will play a key role in supporting the day-to-day operations of the firm, acting as a first point of contact for many client enquiries and helping to ensure work flows efficiently through the practice.
Initially, the role will focus primarily on administration and client support, with the opportunity to develop into basic tax compliance work for the right candidate.
Key Responsibilities
Client Administration
- Managing the onboarding process for new clients
- Requesting and organising client information
- Maintaining accurate client records and databases
- Monitoring administrative workflows and ensuring tasks are completed on time
- Raising invoices for clients
Workflow and Practice Support
- Uploading accounts and tax jobs to our outsourced team
- Tracking the progress of outsourced work and following up where required
- Submitting approved accounts and tax returns to HMRC and Companies House
- Assisting with job scheduling and workflow management
- Supporting the team with general practice administration
Client Communication
- Responding to non-technical client emails and telephone enquiries
- Liaising with clients regarding documentation, deadlines and appointments
- Providing a professional and friendly first impression of the firm
General Administration
- Printing, scanning and posting documents
- Managing incoming and outgoing correspondence
- Assisting with diary management and ad hoc PA tasks when needed
- Supporting the team with general admin tasks
Future Development Opportunities
Depending on experience and interest, the role may develop to include the preparation of simple personal tax returns and similar basic tax work, under supervision.
About You
We are looking for someone who:
- Is highly organised and enjoys keeping things running smoothly
- Has excellent attention to detail
- Is confident communicating with clients by email and telephone
- Demonstrates professionalism at all times, with a strong understanding of the importance of confidentiality when handling client information and communications
- Can manage multiple tasks and priorities effectively
- Is proactive and willing to take ownership of responsibilities
- Has good IT skills and is comfortable learning new software
- Enjoys working as part of a small, friendly team
Previous experience in an administrative, office management, PA or client service role would be advantageous, although full training will be provided.
Experience within an accountancy practice is helpful but not essential.
Working Arrangements
The successful candidate will be based in our office initially to support training and integration into the team. Following the initial training period, there will be the option to work from home for one or two days per week, subject to business needs.
