About the role
This role provides essential administrative support across Procurement, Company Vehicle Administration, Terminal Services, and Maintenance activities, ensuring the efficient day-to-day operation of the terminal. Working closely with internal stakeholders, suppliers, contractors, and service providers, the post holder will coordinate purchasing processes, maintain accurate records, support financial administration, and help ensure compliance with company procedures while delivering a high standard of customer service.
You will be responsible for
Raise and manage purchase requisitions and purchase orders, follow up outstanding deliveries, resolve invoice discrepancies, and liaise with suppliers to ensure the timely provision of goods and services.
Administering company vehicle processes, including maintaining vehicle records, coordinating quotations and orders, arranging service, MOT and insurance requirements, and processing vehicle-related invoices and payroll updates.
Providing general terminal administration support, including managing post and courier services, coordinating meeting room bookings, maintaining office supplies, and delivering switchboard and reception support as required.
Supporting maintenance and workshop activities by raising purchase orders, administering contractor documentation, assisting with consignment stock records, and coordinating supplier communications.
Prepare and maintain accurate reports, records, and databases relating to procurement spend, vehicle administration, invoices, and operational activities, ensuring data accuracy and compliance with company procedures.
About you
You are an organised and proactive administrator who enjoys working in a fast-paced environment and supporting a variety of business functions. With strong communication skills, you are confident building positive working relationships with colleagues, suppliers, and contractors, and are able to communicate clearly and professionally both verbally and in writing.
You take pride in maintaining accurate records and understand the importance of data integrity, attention to detail, and confidentiality. A dependable team player, you are willing to support colleagues wherever needed and enjoy contributing to a collaborative working environment. You are adaptable, eager to learn new skills and processes, and have a flexible, can-do approach to your work. Most importantly, you are someone who takes ownership of tasks, works with professionalism, and is committed to delivering high-quality administrative support.
