About Gibberd
Gibberd is one of the UK's longest established architectural practices, with a history dating back over 90 years. Based in our Shoreditch studio, we work across a broad range of projects from heritage buildings and commercial developments to complex building safety and façade remediation schemes.
We are looking for an organised, proactive and personable Office Manager to become a key part of our team.
This is an important role within the practice. You will work closely with the Directors to keep the business running efficiently, supporting everything from day-to-day studio operations through to business administration, quality systems and client support.
No two days are the same, making this an ideal opportunity for someone who enjoys variety and likes taking ownership of their work.
The Role
Your responsibilities will include:
- Managing the day-to-day operation of the studio and supporting the Directors with administrative task.
- Assisting with invoicing, payment chasing and financial administration.
- Coordinating recruitment administration, onboarding and HR records.
- Maintaining company accreditations including Constructionline and assisting with ISO management systems documentation reports and record keeping.
- Coordinating office health & safety, fire records and compliance requirements.
- Supporting tender submissions, fee proposals and business development activities.
- Coordinating marketing materials, website updates and social media content.
- Organising staff social events and client networking events.
- Helping continually improve our internal systems and office procedures.
About You

Essential Skills
- Previous experience in an Office Manager, Operations Manager, Practice Manager or similar administrative role.
- Excellent Microsoft Office skills.
- Strong organisational and time management skills.
- Excellent written English.
- Good numerical skills and confidence working with financial information.
- Ability to prioritise a varied workload.
- High level of attention to detail.
Desirable Experience
Experience of any of the following would be advantageous but is not essential:
- Sage or similar accounting software.
- Working within architecture, construction or engineering.
- ISO management systems.
- Constructionline or procurement portals.
- Social media or website administration.
- Health & Safety administration.
- Adobe InDesign or Photoshop.

Working Hours
Three days per week (preferred Monday, Wednesday,Thursday)
09:00 – 17:30 (one hour lunch)
We are happy to discuss some flexibility in working hours for the right candidate.
