The Role
We are looking for an organised, proactive and dependable Operations Administrator to join our Operations Team. This is a newly created position designed to provide essential administrative support to the day-to-day running of our operational function. The successful candidate will work closely with the Operations Team, supporting areas including fleet administration, employee attendance, operational investigations, reporting and site crew logistics.
This is an excellent opportunity for someone with strong attention to detail, good communication skills and a positive, can-do attitude who is looking to develop their experience within a busy and varied operational environment.
Due to the nature of the role, the successful candidate will regularly handle confidential and sensitive information, so professionalism and discretion are essential.
Key Responsibilities
The Operations Administrator's responsibilities will include:
- Fines and Penalty Notices – Reviewing and investigating parking fines, bus lane penalties and other vehicle related notices, identifying the relevant vehicle and site crew, maintaining accurate records and supporting the recharge process where applicable.
- Driver Behaviour – Supporting the investigation and administration of driver behaviour concerns, including mobile phone use, distracted driving and other reported driving incidents.
- Fleet Usage Monitoring – Reviewing company vehicle usage, including weekend and out-of-hours activity, collating information and producing reports for the Operations Team.
- Investigation and Disciplinary Support – Attending investigation and disciplinary meetings when required and producing clear, accurate and impartial meeting notes.
- Absence and Sickness Administration – Monitoring and recording employee sickness, absence and unauthorised absence, ensuring records are kept accurate and up to date.
- Employee Records and Behaviour Trends – Maintaining accurate employee records and collating information relating to attendance, conduct, driving behaviour and operational concerns to help identify recurring trends.
- Accommodation Bookings – Coordinating and booking accommodation for site crews working away from home, ensuring arrangements meet operational requirements.
- Data and Reporting – Maintaining spreadsheets, trackers and operational records, producing reports and providing information to management when required.
- General Operations Support – Providing administrative assistance to the wider Operations Team and supporting additional operational tasks as required.
About You
We are looking for someone who is organised, confident and comfortable working in a fast-paced environment where priorities can change throughout the day.
The successful candidate will ideally have:
- Strong organisational and administrative skills with excellent attention to detail.
- Previous experience within an administrative, operations or office-based role.
- Excellent written and verbal communication skills.
- The ability to manage multiple tasks and prioritise workload effectively.
- Confidence working with spreadsheets, databases and Microsoft Office applications.
- The ability to handle confidential and sensitive information professionally and discreetly.
- A methodical approach to investigating information and maintaining accurate records.
- The confidence to communicate professionally with employees, managers and external organisations.
- The ability to work independently as well as collaboratively as part of a team.
- A proactive, positive and solutions focused approach to work.
