RESTART Job Role – Administrator/Reception
Prospect Training Services (PTS) is one of the region’s leading providers who support young people and adults who are looking to either re-join or engage with the employment market for the first time.
This role will form part of the RESTART Programme which will provide intensive and tailored support to over 1 million unemployed people in England and Wales and help them find work.
The ideal candidate will have excellent communication and multitasking skills, a positive attitude and a strong work ethic.
On a day-to-day basis, you will conduct customer focused reception and administration duties to support the efficiency of the provision. You will be experienced in working in a busy reception environment as well as resolving problems effectively. Experience of working with unemployed adults would be beneficial but not essential. Outstanding administration, organisational and attention to detail skills are a must for this role.
Customer focus is of high priority to PTS and you will need to communicate with learners in an engaging but professional and empathetic manner.
You will need to be flexible and adaptable in your approach and work at pace to ensure deadlines are met. ICT skills are a must to update contractual databases and systems.
The four-year RESTART scheme will be open to people who have been out of work for more than 12 months, and will provide them with regular intensive support in finding work. It will be aimed at older workers in particular.
Key Responsibilities
· To provide a comprehensive approach to a full range of administration and customer service duties that underpin the success of the programme
· To be responsible for the management of the reception areas
· To check and maintain that all participant records and paperwork are accurate, up to date and audit compliant
- To support our team of Employment Advisors with participant engagement
- To handle participants data in accordance with the organisations data protection policy
- Undertake admin duties and data inputting as relevant to the Reception.
· To work in accordance with KSS CRC safeguarding policies and procedures and assist the team to carry out its duties in a way that protects children and vulnerable adults and promotes their welfare.
- Undertake cleaning audits with the Facilities Management Supervisor, record and monitor issues
- Oversee the ordering of stationery and supplies, take responsibility for ordering furniture and equipment as required, liaising with suppliers as appropriate
· Undertake direct marketing to employers using digital media e.g. email, LinkedIn, Facebook, Twitter etc.
Skills and Experience
Essential
- Experience of dealing with the public both face to face and on the telephone.
- Experience of providing administrative support
- Excellent interpersonal skills, able to deal effectively and diplomatically with a wide range of people
- Computer skills for inputting and extracting data from information systems.
- Able to prioritise work effectively, be organised and have an ability to multi-task.
- Numerate and literate with the ability to handle and reconcile cash
- Proven ability to work effectively as part of a team with a flexible and calm approach to work.
Additional Information
· Location: Gloucester
· Hours: 37.5 hrs per week – 8:45am-16:45pm Monday–Friday (full time)
