Post overview
To provide a professional administrative and reception service to the Practice, supporting the administration process within the surgery at all times. The post holder will be part of a small team, and will require a high level of initiative and decision making within limited parameters.
The post holder will ensure excellent communication skills, good record keeping, excellent organisational skills, good clinical coding and excellent customer service with patients.
Key Responsibilities:
* Ensure that appropriate correspondence, reports, results etc., are recorded, actioned and stored in accordance with Practice protocol and the Data Protection Act 2018.
* Support seasonal and various health campaigns to increase patient uptake.
* Assist in producing information for clinical audit, screening and chronic disease management in order to optimize recall and review process.
* To work within the administrative team and also provide wider support to the other practice teams when needed.
* To monitor, and amend where required patient records to ensure records are kept up to date, this will include; updating personal details, coding to update the medical care record, asking patients for information opportunistically when they are on the phone.
* Keep up to date with changes to QOF as required.
* Communicate effectively by competent use of email, telephone, written and face-to-face communication according to guidelines and customer care standards.
* Ensuring timely and accurate handling of messages / tasks, ensuring all unresolved or urgent matters are prioritised.
* The post holder has access to confidential patient information and will, therefore need to have a working knowledge and adhere to all aspects of information governance, data protection and confidentiality policies.
*Ensure that patient confidentiality is maintained at all times.
* The post holder will need to check patient details against a range of data sets to ensure a high level of data quality.
* The post holder will work with little supervision, prioritising and managing his or her own workload on a day-to-day basis.

* To ensure the Practice’s ongoing compliance with the CQC’s (Care Quality Commission) essential standards of quality and safety.
* To take an active part in the appraisal process.
* To comply with all relevant Health and Safety regulations and assist the Practice in the implementation of its own Health and Safety Policy.
* To comply with and actively promote the Practice’s Equality and Diversity Policy.
* To support sustainability practices and recognise the shared responsibility of carrying out duties in a resource efficient way.
* To undertake any other duties as appropriate.
General Practice is an ever-changing service, and all staff are expected to participate constructively in Practice activities and to adopt a flexible approach to their work.
This job description will be reviewed annually during the appraisal process, and will be varied in the light of the business needs of the Practice.
