Job Summary
Ramage Windows is looking for a confident, organised and proactive Customer Service & Office Administrator to join our busy office team.
This is an important customer-facing role within the business. You will be responsible for answering incoming calls, dealing with customer enquiries, booking installations and appointments, managing jobs through Business Pilot, sending invoices and ensuring customers are kept informed throughout the process.
We are looking for someone who is comfortable taking ownership of customer queries and finding solutions. There will always be experienced members of the team available to help, but we want someone who can use their own initiative and resolve day-to-day issues without needing to pass everything on.
Previous experience within the window and door industry would be highly advantageous, particularly for someone who already understands common window, door, installation and service issues.
Responsibilities
- Answer incoming telephone calls and deal with customer enquiries professionally
- Respond to customer emails and general enquiries
- Book installations, surveys and service/remedial appointments
- Liaise with customers to arrange and confirm suitable dates
- Manage customer records and jobs using Business Pilot
- Keep job notes, customer details and job statuses accurate and up to date
- Send customer invoices and relevant paperwork
- Deal with straightforward customer queries and problems
- Identify what action is required when a customer reports an issue
- Liaise with installers, surveyors and other members of the team when required
- Follow customer queries and issues through to resolution
- Prioritise your own workload and ensure outstanding actions are followed up
- Take ownership of problems and resolve them independently where possible

- Previous experience in a customer service, office administration or similar role
- Confident and professional telephone manner
- Strong computer skills and the ability to learn new systems
- Good organisational and time-management skills
- Excellent attention to detail

- Ability to work independently while also being part of a team
- Good written and verbal communication skills
Industry Experience
Previous window and door industry experience would be highly advantageous.
We would be particularly interested in applicants who have previously worked within window and door customer service, installations, service/remedials, order processing or a similar office-based role.
Knowledge of common window and door products, hardware and service issues would be a significant advantage, as we are looking for someone who can eventually resolve many routine customer queries themselves.
Previous experience using Business Pilot would also be a significant advantage, although training can be provided.

Pay: £25,420.00-£35,000.00 per year
