Job Summary
We are seeking a highly organised and communicative Vehicle Hire Manager to oversee the rental operations of our vehicle fleet. The successful candidate will be responsible for managing reservations, maintaining vehicle availability, and ensuring excellent customer service.
Duties
· Monitor tender portals and procurement websites for upcoming contract opportunities relevant to the business.
· Identify, review and assist with the preparation of tender submissions and supporting documentation.
· Proactively contact existing and prospective customers to generate new business opportunities and increase vehicle rental utilisation.
· Build and maintain strong relationships with customers through regular communication and follow-up activities.
· Maintain records of customer contact and business development activity within company systems.
· Research local market opportunities and competitor activity to identify potential growth areas.
· Work closely with management to support business development initiatives and achieve utilisation targets.
· Answer incoming telephone calls and emails relating to vehicle hire enquiries.
· Maintain and update the hire management system, ensuring all on-hire and off-hire information is accurate and up to date.
· Update and maintain hire day spreadsheets for monthly forecasting and reporting purposes.
· Manage the MID (Motor Insurance Database), adding and removing vehicles from insurance cover as required.
· Prepare and issue hire agreements and associated documentation.
· Carry out vehicle on-hire and off-hire inspections with customers.
· Liaise with customers and the Workshop Manager to arrange six-weekly inspections, MOTs and maintenance requirements, ensuring suitable replacement vehicles are provided where necessary.
· Monitor LOLER inspection, tail lift testing and weight test renewal dates through the vehicle management system and coordinate maintenance with suppliers and customers.
· Provide customers with compliance documentation upon request, including MOT certificates, PMI records, tachograph reports and LOLER certificates.
· Upload brake test reports and other compliance documentation to the vehicle management system.
· Manage vehicle damage and liaise with customers regarding repair costs.
· Monitor the Nexus portal for invoice and damage queries, providing supporting documentation and responses as required.
· Maintain accurate records and ensure all compliance and hire documentation is filed correctly.
· Coordinate vehicle deliveries and collections with drivers and customers.
Pay: £42,000.00-£45,000.00 per year
