GRM Energy is seeking a highly organised and proactive Workflow Coordinator (Operations) to support the day-to-day coordination of projects, operational workflows, and administrative processes across the business.
This is a key operational role, ensuring projects, installations, compliance activities, and internal processes run efficiently from initial enquiry through to completion. You will work closely with clients, installation teams, suppliers, housing associations, and internal departments to keep workflows on schedule, maintain accurate project records, and deliver an excellent customer experience.

Key Responsibilities
- Project & Installation Support: Assist the Operations and Project Management teams by coordinating schedules, appointments, surveys, and installation programmes.
- Customer & Stakeholder Communication: Liaise with customers, housing associations, suppliers, contractors, and internal departments, providing professional updates and responding to enquiries.
- Scheduling & Resource Planning: Organise diaries, site visits, meetings, surveys, and installation programmes to maximise operational efficiency.
- Compliance & Documentation: Prepare, organise, and maintain project documentation, contracts, compliance records, and installation paperwork.
- Project Reporting: Prepare project reports and regularly update the Project Manager on project progress, outstanding actions, risks, scheduling changes, and operational issues to support informed decision-making.
- CRM & Data Management: Maintain and update CRM systems, project trackers, databases, and operational reports with a high level of accuracy.
- Operational Administration: Provide day-to-day administrative support to the Project Management teams.
- Issue Resolution: Identify workflow bottlenecks, escalate operational issues where necessary, and support the implementation of effective solutions.
Requirements
- Previous experience in an operations, workflow coordination, project administration, or customer service role is essential.
- Excellent organisational and time management skills with the ability to manage multiple priorities.
- Ability to work efficiently in a fast-paced, deadline-driven environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience using CRM systems or project management software is advantageous.
- Strong attention to detail and problem-solving abilities.
- Professional, reliable, proactive, and able to work both independently and as part of a team.
- A positive attitude with a willingness to learn and develop within a growing renewable energy business.
