MSA Environmental Ltd is a leading environmental and engineering consultancy specialising in the design of wastewater treatment and water reuse systems for food and drink production sites. The company was formed in 1994 and over this time we have delivered innovative, high performance technical solutions and wastewater related consultancy to the likes of Saputo Dairy UK, Kerry Ingredients, Dale Farm, Muller, Thatchers, Coca-Cola and many more.
We predominantly work across the UK, but we also undertake various assignments overseas and we currently have live projects in Ireland, Italy, Qatar, Saudi Arabia and Trinidad and Tobago.
We provide a wide range of consultancy services to our clients including:
- feasibility studies and review documents
- detailed design of wastewater treatment and water reuse systems
- water and wastage minimisation audits
- wastewater treatment training courses for clients
- operational support and advice to clients with existing onsite effluent treatment processes
- laboratory analysis
We are currently a team of eight staff comprising environmental scientists, chemical/mechanical engineers and Consultants. We have an active, energetic, hardworking, personable and professional team.
We are seeking a reliable, friendly and dynamic Office Administrator to work with our team to help the business operate efficiently, meet the needs of our clients and manage our suppliers.
About the Role
We currently have a vacancy for a part-time Office Administrator to join our team at our office in Trowbridge.
In this role, you will provide support to our engineers, environmental scientists, and consultants to ensure a smooth, efficient working office environment. No technical knowledge in wastewater treatment or the environmental sector is required for this role, but some basic training will be provided to help streamline business activities.
A key part of this role involves managing company finances, including processing invoices, handling expenses, preparing VAT returns, and completing bank reconciliations.
You will manage the office day-to-day, handle internal and external communications, and coordinate travel arrangements for our team.
You will manage daily communications by answering inquiries from clients and directing technical questions to appropriate team members.
Your role as office administrator involves typical activities (but not limited to) as follows:
- Payroll
- Reconciliation of company accounts (monthly)
- Invoicing and pursuing payment of MSA invoices
- Arranging payment of supplier invoices
- VAT returns
- Procurement of office supplies (groceries, stationeries, laboratory supplies)
- Raising of proforma invoices/quotations for suppliers
- Organising travel arrangements for employee site visits etc
- Preparatory works related to Company books or end of year accounts
- Coordination with MSA company accountants
- Coordination with key suppliers (IT provider, waste, water, energy)
- Answering the phone to suppliers, clients and others
- Tea/coffee making for employees and visitors
- Teams calls (as required)
- General administration (printing, scanning, copying, posting, shipping etc)
- Arranging Insurances (car, office, PI, travel and other)
- Reviewing and updating company policies
- Any financial aspect related to the business
- Recruitment of new staff
- Induction of new employees
- Attendance at company meetings (where applicable)
- Obtaining grants (applications and other)
- Updating/reviewing holiday spreadsheet
- Coordinating repairs/servicing of office equipment and assets (i.e. vehicles etc)
- Health & Safety risk assessments (fire safety etc) and coordination of surveys, replacement equipment
- Any other office based administrative task that is essential to the successful operation(s) of the company
Required Skills
Experience:
- You should have prior experience working in an office environment, including hands-on experience with basic financial or bookkeeping tasks.
Software:
- You must be fully IT literate and proficient in Microsoft Office (specifically Outlook, Excel, Word, Teams etc).
- Experience using Sage is desirable, and any familiarity with Xero is a distinct advantage as we plan to transition to this platform.
Communication & Organisation:
- Excellent verbal and written communication skills are essential to interact with a diverse mix of clients and specialists both on the phone and in person during client visits.
- Ability to take in instructions in one sitting and complete assigned tasks independently in a timely fashion.
- Strong organisational skills are vital to handle business financials and manage multiple tasks in a dynamic environment.

Hours and Location
Location:
- Fully office-based in Trowbridge which offers onsite parking, good transport (rail, bus and road) links with easy access to local amenities.
Hours:
- 9am to 3pm, Monday to Thursday (24 hours per week). There may be some flexibility on these days/hours for the right candidate.
Start Date:
- w/c 7th September 2026 (with flexibility for the right candidate).
Package and Benefits
This position shall be paid on an hourly rate of between £13.50 to £14.50 per hour depending on skills and experience.
The position shall qualify for an annual Christmas bonus (December) and end of year performance bonus (July) subject to company financial performance and personal performance (including attendance).
Holiday entitlement shall be 100 hours per annum. Some of these hours will have to be taken during our Christmas shutdown period which is typically 3 days.
