St John Ambulance works at the heart of communities, supporting and enabling them to access and receive physical and mental health first aid. We do this through developing and providing effective community response and outreach services (e.g. Ambulance response) and using our longstanding expertise to empower people with vital clinical skills and the confidence to use them (e.g. our Volunteers and Community Advocates, and Young Responders programmes).
Job Summary
As a Volunteer Support Administrator, you'll play a vital role in creating a positive experience for the volunteers who help us make every day a little better. You'll provide essential administrative support across the volunteer journey, from recruitment and onboarding to training compliance and record management. Working collaboratively with colleagues to support multiple counties, you'll ensure our volunteer records are accurate, respond to day-to-day enquiries, and help deliver a consistent, inclusive and high-quality volunteer experience that enables our volunteers to thrive.
About You
We're looking for someone who is organised, approachable and passionate about delivering excellent support. You'll have experience providing high-quality administrative support in a busy environment, where you've successfully managed multiple priorities while maintaining accuracy and attention to detail. You'll be confident delivering excellent customer service, responding to enquiries professionally by phone, email and Microsoft Teams, and have experience maintaining accurate records using databases, spreadsheets or other information management systems.
With excellent organisational, written and verbal communication skills, you'll be able to prioritise your workload, adapt your communication style to suit different audiences, and work effectively both independently and as part of a team. You'll be confident using Microsoft Office applications, including Word, Excel, Outlook and Teams, and be comfortable learning new systems. You'll also have a strong understanding of the importance of confidentiality, safeguarding and data protection, alongside a commitment to delivering an inclusive, high-quality service. GCSEs (or equivalent) in English and Maths (Grade 4/C or above), together with experience in administration, customer service or a similar support role, are essential.
About the Role
As a Volunteer Support Administrator, you'll play an important role in delivering a positive and seamless experience for our volunteers by:
- Providing essential administrative support across the volunteer journey, including recruitment, onboarding, induction and training compliance.
- Maintaining accurate volunteer records and updating information across a range of systems to support reporting, compliance and service delivery.
- Acting as a first point of contact for volunteer, applicant and colleague enquiries, delivering a friendly, responsive and professional service.
- Preparing and distributing a range of volunteer communications, documentation, certificates and recognition materials.
- Monitoring training, safeguarding and compliance records, escalating issues where appropriate to ensure volunteers remain compliant.
- Working collaboratively with colleagues across multiple counties to deliver consistent, high-quality support and continuously improve volunteer services.
- Supporting reporting, audits and service improvements by maintaining accurate data and identifying trends and opportunities for improvement.
- Championing St John Ambulance's values by helping create an inclusive, supportive environment for volunteers and working flexibly, including occasional evenings and weekends, to meet service needs.
